This position has a preferred schedule of Monday–Thursday, 7:00 AM–5:00 PM.
About the role
Serve as the first point of contact for visitors and customers. Greet and direct guests, answer telephones, perform general clerical work, distribute checks when necessary, and provide exceptional customer service to employees, clients, and visitors.
Responsibilities
- Welcome visitors and guests in a friendly and courteous manner and notify office staff of arrivals.
- Operate and manage multi-line telephones, route incoming calls, and handle all voicemails left on the general mailbox.
- Provide general clerical support, including word processing.
- Receive, sort, and process incoming and outgoing mail.
- Handle all incoming and outgoing faxes, UPS packages, and schedule FedEx pick-ups.
- Assist the HR department in the hiring process by processing job applications, personal reference checks, and supervisor reference checks.
- Handle postage money and reconciliation when necessary.
- Maintain a safe and clean reception area by complying with procedures, rules, and regulations, including organizing weekly fruit and cleaning the popcorn machine.
- Assist the Human Resources department in employee activities such as All Staff meetings, family fit events, luncheons, Employee Appreciation Day, wellness conferences, and staff development days.
Requirements
- Exceptional professional office and telephone etiquette with a pleasant demeanor.
- Excellent communication and interpersonal skills, including effective speaking and listening.
- Attention to detail and ability to multitask in a fast-paced environment.
- Strong customer service skills and high levels of professionalism.
- Ability to work independently and accept direction on assigned tasks.
- Must pass pre-employment drug screening, fingerprinting, and background check.
- Must possess a valid California Driver’s License and reliable transportation.
- Indian preference applies; certification of Native American heritage must be attached to the job application.

The listed wage reflects the entry-level rate for this position. Compensation may be adjusted based on experience, education, and qualifications.
