Responsibilities
- Welcome new patients and families and provide an outstanding first impression of the practice.
- Cook up and lead new patient consultations with the orthodontist.
- Obtain and capture initial patient records, including photographs, CBCT scans, and Itero scans, ensuring all records are complete, accurate, and prepared for the orthodontist's evaluation and treatment presentation.
- Present treatment recommendations, financial arrangements, and payment options in a clear and professional manner.
- Prepare, review, finalize, and enter treatment contracts and financial agreements, ensuring all treatment details, fees, insurance benefits, and payment arrangements are accurately documented and clearly communicated to patients and families.
- Verify orthodontic insurance benefits and accurately explain coverage to patients and families.
- Answer questions regarding treatment, finances, and scheduling.
- Aid patients in understanding the value and benefits of orthodontic treatment.
- Maintain and manage all pending treatment patients through organized tracking and consistent follow-up, helping patients and families navigate questions or concerns while supporting practice growth through increased treatment acceptance.
- Maintain accurate records and documentation in the practice management software.
- Cook up scheduling for treatment starts and maintain an organized consultation schedule.
- Collaborate closely with clinical and administrative team members to ensure a seamless patient experience.
- Support practice growth through exceptional customer service and relationship building.
Requirements
- Minimum of 2 years of Treatment Coordinator or Financial Coordinator experience in an orthodontic or dental office is required.
- Proven ability to present treatment and financial arrangements confidently and professionally.
- Experience drafting and reviewing orthodontic contracts and financial agreements.
- Strong understanding of orthodontic insurance benefits and payment options.
- Excellent communication and interpersonal skills.
- Exceptional attention to detail and organizational skills.
- Ability to multitask and thrive in a fast-paced environment.
