About the role
With the support of the administrative team and Practice Managers, assist to ensure the smooth and successful appointments of all new patients. Responsible for contracts signed by the responsible party prior to or on banding day, and for maintaining all treatment coordinator records and reports while communicating them to the Practice Manager.
Responsibilities
- Set up treatment rooms for all new patient exams
- Welcome new patients/parents promptly with a warm smile
- Ensure new patient experience is enjoyable every single time
- Check all new patient charts to ensure info was correctly entered upon scheduling
- Prepare iPad for new patients who have not filled out forms prior to appointment
- Responsible for new patient paperwork to ensure completion
- Map in fields from the online questionnaire into chart
- Ensure process is compliant with HIPAA laws
- Complete New Patient X-rays for appointment
- Give accurate and correct pricing based on treatment plan recommendations, including expected insurance amount if previously verified
- Work numbers for new patients and set up comfortable monthly payments aligned with office guidelines
- Keep records of all contracts, fees, referrals, and other important information
- Help fill the schedule when needed by communicating with Front Desk Coordinators
- Ensure accurate charting and insurance information has been entered correctly for Insurance Coordinator submission once contract is signed
- Collect and scan new insurance information into chart by obtaining front and back of insurance card and completed half sheet
- Sign contract with patient or parent before or no later than banding date; provide contract to Insurance Coordinator by next working day
- Answer any questions patients might have regarding treatment
- Work with Practice Managers to ensure all contracts and documents are up to date, gather needed information, and update as changes take place
- Attend all staff meetings, front office meetings, and daily huddles
- Represent the practice in a positive way inside and outside of the office
Requirements
- At least 1 year of treatment coordinating experience
- Self-motivated, organized, and positive attitude
- Great understanding of dental terminology
- Excellent communication and written skills
- Excellent public relations skills
- Ability to work well with patients and team
- Experienced in delivering high-level customer service
- Committed to the position, arriving on time daily and staying late as needed
- Excellent computer skills including Microsoft Word, Excel, Teams, and Outlook
