TREASURER/BOOKKEEPER II (26-27)

About the role

The successful candidate will be responsible for performing intermediate clerical and bookkeeping work in an educational setting. Duties include maintaining financial records, assisting with audits, and managing school budgets.

Responsibilities

  • Maintains a complete and systematic set of records of all financial transactions.
  • Reviews and reconciles accounts and budget reports on a monthly basis.
  • Assists in district-directed audits of records and accounts.
  • Assists the principal with budget development.
  • Analyzes, verifies, and reconciles school budget reports to maximize fund usage.
  • Initiates, prepares, and verifies payment requests, obtaining necessary approvals.
  • Purchases goods and services for the school using various approved methods.
  • Initiates and reviews school contracts and prepares supporting documentation.
  • Verifies and records cash collections, including field trip, fundraising, and athletic activities.
  • Posts activities on the online payment platform and issues checks to vendors.
  • Manages the school’s checking account, prepares monthly reconciliations, and maintains records of transactions.
  • Prepares sales and use tax reports and processes tax payments.
  • Initiates, prepares, and processes transactions using the purchasing card, tracks expenditures, and reconciles balances monthly.
  • Composes reports and records for review and financial correspondence.
  • Maintains accounts payable files for verification of receipt of items.
  • Prepares and enters invoices, updates customer lists, and prepares journal entries.
  • Performs various payroll duties as assigned.
  • Trains other staff to perform essential treasurer duties in the absence of the school treasurer.
  • Answers inquiries from staff and parents regarding financial policies and procedures.

Requirements

  • Considerable knowledge of bookkeeping/accounting practices for cash management, revenue, and expenses.
  • Ability to effectively organize and maintain records.
  • Ability to interpret standard accounting and financial statements.
  • Ability to prepare reports and business correspondence.
  • Excellent customer service skills with the ability to handle inquiries calmly.
  • Knowledge of pertinent district policies and procedures.
  • Excellent time management skills and ability to prioritize tasks.
  • Effective communication skills, both oral and written.
  • Working knowledge of computer programs, including email, word processing, spreadsheets, and databases.

Qualifications

  • Associate's degree in a relevant field.
  • Two years accounting/bookkeeping experience, or equivalent combination of education and experience.
  • Preferred qualifications include a bachelor's degree in a relevant field, bookkeeping/accounting experience in a school district or similar environment, and bilingual English/Spanish skills.
