Tradeshow and Events Coordinator
Position Summary
The Tradeshow & Event Coordinator will work closely with Product Management, Marketing Communications and Sales to develop, plan, and execute trade shows, conferences, and regional events; ensuring Movora’s presence is consistent in elevating the brand, presenting Movora as a global MedTech leader with innovative product advancements and education supporting the best patient outcomes.
Essential Duties and Responsibilities
- Responsible for the logistical event planning, coordination, and execution of key Movora shows – nationally and regionally.
- Plan and coordinate all aspects of tradeshow participation, including registration, sponsorship sign up, expense tracking and payment for booth space, confirmation of booth staffing, speakers, surgeons, and presentations to ensure everything runs smoothly.
- Build and establish relationships with vendors, venues, and other industry contacts.
- Plan events collaboratively with marketing, sales, and education regarding event strategy, objectives, and messaging for each show; make recommendations to achieve minimum spend for maximum impact. Collaborating with global Marketing Communications team and global trade show leads for a unified Movora presence.
- Work closely with Education team & Global Director of Education to coordinate needed aspects of labs when concurrent/hosted with a show.
- Ensure timely shipping of marketing collateral and demonstration product. Coordinate audio-visual equipment (as needed).
- When needed, be onsite for booth set up and tear down and periodically throughout the event to ensure everything is going according to plan.
- Develop and manage the pre-show brief and maintain Movora’s tradeshow best practices. Lead communication to all internal teams on tradeshow logistics, event calendar and post-show results. Host and coordinate pre-show and post-show meetings with a focus on planning and process improvement.
- Responsible for managing the list of attendees and registrants for giveaways and for tracking of promotional products and any scanners or lead generation tools utilized.
- Conduct post-event tracking and ROI analysis to help measure Movora’s marketing initiatives and improve future performance.
- Conduct event wrap-up and post-event evaluations and evaluate show/lab data.
Work Environment
This job operates mostly in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
