Patient Care
- Welcome patients to clinic, create a therapeutic and compassionate environment
- Field and troubleshoot patient concerns and questions, escalate as needed
- Perform chart review, implement treatment plans, and communicate with providers
- Absorb and coordinate with supervisors or providers as needed
- Maintain professional boundaries and monitor patient symptoms and medications
TMS Treatments
- Administer TMS treatments carefully, manipulate TMS arm, and enter treatment parameters
- Operate TMS machine, read protocols, and set up for MT procedures
- Adequately perform MT rechecks as needed or requested
Esketamine Treatments
- Carefully take patients' vitals and assist with self-administration of Esketamine
- Monitor symptoms and side effects, alerting and communicating with clinic warm body provider
- Complete REMS enrollment forms and online patient monitoring forms
- Update medication and inventory logs
Charting and Documentation
- Chart all TMS or Esketamine treatments in Athena and patient excel logs
- Aid patients in completing treatment consent and insurance forms
- Write clear, concise, and accurate notes in patients' charts
Patient Care Coordination Tasks
- Check patients in before appointments, maintain schedules, and assist with rescheduling
- Schedule TMS treatment courses, Esketamine treatments, and follow-up office visits
- Monitor insurance authorizations, alert PCCs when needed, and ensure treatments are authorized
- Accurately and timely complete patient medication refills, follow up as needed
- Field outside records and update patient charts, upload, route, and communicate in Athena
- Handle patient emails and voicemails, complete tasks or coordinate as needed
- Absorb other patient care tasks as needed
Office Cleanliness and Organization
- Maintain a clean and safe work environment, assist in cleaning and organizing clinic tasks
- Clean and maintain TMS and Esketamine equipment and treatment rooms
- Monitor clinic supplies and inventory, update lists, troubleshoot equipment malfunctions, and alert supervisors
Communication with Team and Supervisors
- Provide clear, accurate, and concise verbal and written communication with team members and providers
- Work well with team members and supervisors, ask for help and offer help as needed
- Follow up on messages, threads of communication, and tasks appropriately
- Attend meetings and stay updated on workflows
Company Policies and Protocols
- Remain up to date on and follow all company policies and protocols
- Arrive on time, use lunch and breaks appropriately, and attend work each day unless preapproved leave
- Show willingness to learn new methods, procedures, and techniques
Qualifications
- Available to work full-time Monday – Friday between clinic hours of 7am – 5pm
- A high school diploma or equivalent
- Excellent customer service and/or patient care skills
- Strong organizational and time management skills including punctuality, attention to detail, and problem-solving skills
- Exceptional interpersonal skills and experience working as part of a team
- Strong written and verbal communication skills
- Warmth, compassion, and comfort working with patients with mental illness such as depression, anxiety, and OCD
Preferred qualifications
- Medical assistant or bachelor’s degree preferred
- Experience navigating, scheduling, and documenting in an EMR, preferably Athena
- Proficient with Microsoft Office (Word, Excel), Microsoft Teams, and Outlook
- 1+ years of patient care experience
- Knowledge and understanding of mental illness such as depression, anxiety, and OCD
