About the role

The Title Specialist processes, monitors, and completes title transactions across the lifecycle of a commercial vehicle or equipment lease/loan account—including title origination, termination/release, and dealer-side title servicing. This role requires close coordination with internal systems (Salesforce, Docuware, DDI), external vendors, state agencies, and other title team members to ensure titles are perfected, released, and recorded accurately and within required timeframes. Title Specialists are typically assigned to a primary channel (Vendor, Terminations, or Dealer) but must support cross-channel needs as volume dictates.

Responsibilities

  • Title Processing & Records Management
    • Process title originations, terminations, and corrections, ensuring accurate and timely completion of all required documentation.
    • Order titles from DDI for terminations, repossessed assets, or other releases as needed.
    • Release a minimum of 40 title terminations per week (or the volume standard assigned to the role/channel).
    • Review and process title corrections, including dealer-side and mail-in title errors.
    • Maintain accurate, up-to-date records in Salesforce (SF) and Docuware (DW), including logs and status notes.
    • Review incoming mail/title receipts for accuracy and flag discrepancies for follow-up.
  • Customer, Dealer & Vendor Coordination
    • Follow up with customers and dealers to obtain outstanding documentation required to submit title work to vendors or state agencies.
    • Review customer delinquency, issue final demand notices, and monitor accruing penalties as applicable.
    • Prepare and submit origination title packets to third-party vendors, ensuring all required documents are complete.
    • Verify title quotes and research state-specific titling requirements as needed.
    • Provide title copies, guarantee-of-title documentation, and duplicate title requests to internal teams, dealers, and third-party payoff parties.
    • Send customer welcome communications and provide general customer service support related to title status.
  • Compliance, Monitoring & Reporting
    • Monitor relevant dashboards (e.g., titles sent to vendors, titles requested delinquency, registration bucket) and follow up on aged items.
    • Support monitoring of syndication accounts, providing perfected title copies to syndication partners as required.
    • Monitor ELT (Electronic Lien and Title) setup and issues and clear ELT/VLT stops as needed.
    • Follow up with state agencies on titles not received within expected timeframes.
    • Submit state-required forms (e.g., Form 227 or equivalent) as applicable to the assigned channel.
    • Run and communicate on periodic reporting related to title status, terminations, or remarketing activity.
  • Team Support & Additional Duties
    • Provide cross-channel coverage and training support during absences or overflow periods.
    • Assist with mail check-in and distribution coverage as needed.
    • Support team members with title review, stips review, and general processing overflow.
    • Perform additional duties as assigned to support departmental goals.

Requirements

  • High school diploma or equivalent required; associate degree or relevant coursework a plus.
  • 1+ years of experience in title processing, DMV/titling operations, or a related administrative role within finance, leasing, or automotive/commercial vehicle industries preferred.
  • Working knowledge of multi-state titling requirements or demonstrated ability to quickly learn state-specific titling and registration rules.
  • Proficiency with Microsoft Office (Excel, Outlook); experience with Salesforce, Docuware, or DDI a plus.
  • Strong attention to detail and organizational skills; able to manage high-volume, deadline-driven workloads.
  • Clear written and verbal communication skills for interacting with customers, dealers, vendors, and state agencies.
  • Ability to work collaboratively across title channels and adapt to shifting priorities.

Pay
