About the Role

The Therapy Services Representative is responsible for all aspects of Therapy front-end office functions, from greeting the patient on their first visit through their final visit at discharge. This role ensures smooth operations in benefit verification, patient financial responsibility collection, therapy chart maintenance, patient scheduling, and financial reconciliation.

Responsibilities

  • Provide excellent customer service at all times.
  • Obtain therapy benefits for all patients (new, splint, and home programs) two days in advance of appointments.
  • Verify benefits through insurance websites or direct phone contact; print and file benefits in patient charts.
  • Obtain authorization for therapy visits two days in advance via online portals or insurance companies.
  • Monitor patient visit counts and secure reauthorization as needed for continued therapy visits.
  • Communicate with primary care physicians, insurance companies, and case managers/adjustors to obtain necessary authorizations.
  • Create and maintain neat, orderly patient therapy charts.
  • Attend and participate in monthly staff and front-desk meetings.
  • Ensure all tasks are completed before the end of each scheduled shift.
  • Greet all patients upon arrival to the Therapy department.
  • Collect co-payments, co-insurance, and deductibles at the time of service; explain new patient paperwork and benefits in detail.
  • Prepare daily charts for new and continuing patients and process patient charge tickets for the Business Office.
  • Follow up on inactive patients and schedule all therapy appointments per the Therapy Plan of Care.
  • Communicate effectively with patients, visitors, and team members.
  • Complete chart discharge procedures and prepare records for Medical Records.
  • Distribute and collect mail twice daily.
  • Ensure compliance with all company plans, policies, and procedures set forth by Florida Orthopaedic Institute.
  • Perform all other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • Minimum 1 year of experience in a medical environment.
  • Excellent customer service skills.
  • Ability to multitask.
