Responsibilities

  • Arranges surgeries, procedures, and diagnostic tests with area hospitals and diagnostic facilities based on physician/patient preferences and insurance plan requirements.
  • Arranges pre-surgical appointments such as labs, imaging, and medical clearance as requested.
  • Schedules in-office procedures, cell therapy, VISCO appointments, etc., and obtains necessary authorization.
  • Creates authorization/certification and referrals, pre- and post-op appointments, and obtains pre-certification as required.
  • Schedules peer-to-peer meetings for insurance approval and facilitates information gathering for medical appeals.
  • Manages in-basket and voicemail messages.
  • Gives general instructions and explains procedures to patients, providing written instructions including date, time, and facility directions.
  • Coordinates patient care with hospitals, blood donations, radiology, anesthesia, and the patient’s primary care physician.
  • Provides patient teaching on surgical procedures, pre- and postoperative care via verbal, written, and videotaped communication.
  • Loads all surgeries into Centricity, filling in appropriate fields in the dataset, and enters surgery in the physician’s Outlook calendar.
  • Schedules patient education and medical clearance appointments as needed, obtains second opinions, and arranges medical clearance.
  • Creates referral tasks, post-op appointments, and obtains pre-certification as required.

Requirements

  • High School Diploma, GED, or equivalent experience.
  • Associate’s or Bachelor’s degree preferred.
  • A minimum of one year of medical office experience.
  • Previous high-volume surgery scheduling experience preferred but not required.
  • Familiar with insurance companies, CPT, and ICD-9 codes.

Skills

  • Knowledge of medical terminology, CPT, and ICD-9.
  • Knowledge of the interrelationship of clinical services departments.
  • Ability to communicate with patients, medical facilities’ personnel, and testing centers’ personnel.
