About the role

Seyon Management (SM) is a national real estate services firm supporting some of the world’s largest institutional property owners. Headquartered in Boston with offices in Miami, Philadelphia, and Nashville, SM manages approximately 17 million square feet nationwide and provides property management, construction management, asset management, accounting and financial reporting, and advisory services.

Key Responsibilities

  • Accounting and Financial Support:
    • day-to-day property accounting processes, including assisting with accounts receivable and accounts payable workflows
    • Monitor tenant balances and follow up on outstanding items in accordance with company policies and direction from the Property Manager
    • Aid in coding and routing invoices in the financial system and tracking payment status with vendors as needed
    • Care for organized financial records and supporting documentation for the property
    • Avoid monthly billing review and reporting preparation, as directed
  • Tenant Relations:
    • Act as a point of contact for tenant inquiries, ensuring timely, professional, and customer-focused responses
    • Coordinate and track tenant service requests and work orders, following up with vendors and facilities staff to support timely completion
    • Prepare and distribute tenant communications, including building notices and updates
    • Aid in lease administration tasks, including lease abstraction and maintaining accurate lease data in property management systems
    • Aid with tenant move-ins and move-outs, ensuring all required documentation and procedures are completed
  • Operations:
    • Assist with vendor coordination and maintain records of service contracts, ensuring documentation is current and organized
    • Track certificates of insurance (COIs) for tenants and vendors and follow up on expirations as needed
    • Support ongoing property operations by coordinating with vendors and internal teams on scheduled services and maintenance
    • Aid in administrative coordination related to tenant improvements and capital projects, including tenant communications and access scheduling
    • Maintain organized property files, contracts, and operational documentation

Qualifications

  • Undergraduate college degree required
  • Working knowledge of the operational, administrative and financial aspects of real estate management preferred
  • Familiarity with Microsoft Office, Word, Excel and Yardi or comparable accounting applications
  • Ability to effectively communicate with clients, managers, engineers, vendors and tenants in a professional manner
  • Candidate must exhibit a high degree of professionalism, excellent written and verbal communication skills and a track record of consistent professional achievement and career growth
