About the Role

The Tenant Coordinator serves as a key point of contact for tenants, vendors, and visitors, managing day-to-day office operations in a fast-paced, dynamic environment. This customer-focused role requires strong organizational skills and the ability to handle multiple priorities while maintaining attention to detail.

Responsibilities

  • Act as the first point of contact for tenant communications, including memos, emergency updates, rent statements, newsletters, and event invitations.
  • Oversee the tenant work order system, collaborating with team members to ensure customer service goals are met.
  • Participate in customer service initiatives such as First Hour Focus.
  • Liaise with vendors on tasks such as janitorial request logs, vacancy reports, and security shift briefings.
  • Support the property team in operational processes, including annual budgeting, quarterly reports, access card management, tenant surveys, and the Operational Audit.
  • Maintain lease and building files, property contact lists, emergency contact information, building permits, purchase order logs, and Certificates of Insurance for tenants and vendors.
  • Prepare accounts payable invoices for approval and process tenant billings, managing AP inquiries and past-due issues from vendors.
  • Assist with tenant move-in/move-out processes, including signage, vendor/tenant access, and welcome packages.
  • Support Property and Engineering teams by drafting contracts and purchase orders for capital and routine maintenance projects.
  • Sort and distribute mail, oversee office appearance, and manage office supply inventory.
  • Perform miscellaneous duties as assigned.

Requirements

  • Experience in residential or commercial real estate preferred.
  • 2+ years of administrative experience in a corporate environment.
  • Bachelor’s Degree preferred.
  • Strong proficiency in Microsoft Excel, Word, and PowerPoint.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Detail-oriented with strong follow-up skills.
  • Professional, personable, and customer-service focused.
  • Ability to work independently and collaborate effectively.
  • Ability to work under pressure, manage competing priorities, and meet deadlines without sacrificing accuracy.
