Temporary Part-Time Receptionist/Visitor Control

About the role
This temporary part-time Receptionist/Visitor Control position will provide surge support at the corporate front desk during the hours of 12:30pm and 5:00pm, Monday through Friday, with the ability to cover additional hours during absences or vacations of the full-time receptionist. The role is expected to last 6-8 weeks.
Responsibilities
- Serve as the first point of contact for guests, providing exceptional customer service and ensuring a welcoming atmosphere.
- Greet visitors in person or on the telephone in a polite and friendly manner; answer or refer inquiries as needed.
- Maintain employee and department directories to direct visitors appropriately.
- Monitor visitor access and maintain security awareness; manage the visitor badge in/out process and maintain the visitor logbook.
- Prepare new hire swag bags.
- Ensure the reception area and all common areas are kept clean and tidy.
- Assist with scheduling meeting and conference rooms; may organize catering.
- Document and communicate actions, irregularities, and continuing needs to ensure office continuity.
- Handle outgoing mail (e.g., USPS, FedEx); receive deliveries, and sort and distribute incoming mail.
- Place outgoing calls and set up conference calls as needed.
- Assist with stocking basic office supplies and drinks/snacks in conference rooms and auditorium.
- Operate standard office equipment, including desktop computers, copy machines, postage meters, and badge printers.
- Ensure compliance with company rules and regulations in the reception area.
- Perform other general administrative and clerical support duties as assigned.
Requirements
- U.S. Citizenship.
- High school diploma or GED required.
- 2-3 years of relevant experience in an office environment; prior receptionist experience preferred.
- Demonstrated experience in a customer service role.
- Ability to cover full-time hours occasionally when the full-time receptionist is absent or on vacation.
- Ability to maintain and obtain a security clearance.
Skills
- Technical proficiency in Microsoft Office – Word, Excel, and PowerPoint.
- Excellent interpersonal and communication skills.
- Ability to multi-task and prioritize without guidance.
- Strong organizational skills.
- High accountability – must be punctual with a strong attendance history.

Schedule
Monday through Friday, 12:30pm to 5:00pm (temporary, part-time).
