Responsibilities
General Orientation Team Support
- Communicate with clients/team members in an effective, professional, and timely manner to enable a positive customer service experience in a team environment.
- Coordinate ordering of new hire booklets that reflect the appropriate benefit plan and other regional requirements while meeting time deadlines.
- Prepare key orientation deliverables, including On-Site Supervisor packets, new hire paperwork, and benefits information, to meet shipping and delivery deadlines.
- Communicate directly with clients via phone, fax, and/or email to confirm orientation meetings and provide details of necessary documentation and employee participation for a successful transition.
- Coordinate with Sales Administration to ensure timely receipt of approved client documents required for preparation of orientation packets and client pre-meetings.
- Provide backup support to the Orientation Specialist in processing client files.
- Exercise high attention to detail and methodology for confirming accuracy in all tasks.
- Generate reports as requested.
Administrative Support
- Accurately package multi-location orientation packets for distribution via various carriers to meet client orientation meeting delivery deadlines.
- Prepare Word documents for On-Site Supervisor packets and payroll client files, personalized for each client.
- File, make copies, type, and enter data into computer/database or standard forms.
- Coordinate department communication by stamping and distributing incoming mail and faxes; prepare and send outgoing mail using appropriate delivery methods.
- Maintain mailing, office, and equipment supplies in an orderly fashion; generate requisitions to replenish supplies as requested.
- Participate in front desk receptionist relief.
- Support process and audit efforts to ensure integrity and accountability for Sarbanes-Oxley and HIPAA compliance.
Requirements
- High School diploma required; Bachelor’s degree preferred.
- 2–4 years of experience in an administrative support role or related field with an emphasis on project/multi-tasking.
