Temporary IT Project Coordinator
About the role
The IT Project Coordinator will support the execution and day-to-day operations of the Firm’s Demand Management and Project Portfolio processes during a temporary coverage period. This role will work closely with the Senior Business Relationship Manager (BRM) to coordinate intake, portfolio reporting, and governance activities across IT initiatives.
Responsibilities
- Demand Intake & Coordination
- Coordinate and track all incoming non-support IT requests through the intake process
- Schedule and facilitate discovery discussions with requesters and Subject Matter Experts (SMEs)
- Ensure requests are properly documented, categorized, and progressed through governance workflows
- Maintain and organize the demand backlog and pipeline
- Cook up and coordinate with vendors, architects, procurement and other technology personnel to ensure required assessments and contracts are completed
- Portfolio Reporting & Status Management
- Collect, validate, and consolidate demand status updates, risks, issues, and milestones
- Produce recurring demand and portfolio reports and dashboards for IT leadership
- Ensure project and demand data is accurate, complete, and current
- Governance & Process Support
- Support execution of demand management and project governance processes
- Prepare materials and facilitate leadership updates on demand and initiative processes
- Help maintain intake workflows, demand dashboards and supporting tools
- Facilitate project handover meetings to ensure a smooth transition from demand to project
- Stakeholder Coordination & Communication
- Serve as a central coordination point between requesters, IT teams, vendors and leadership
- Communicate status updates, risks, and dependencies across active initiatives
- Escalate risks or issues to leadership before reaching critical status
- Operational & Administrative Support
- Maintain project and portfolio documentation, including SOPs and templates
- Prepare meeting materials, agendas, and notes
- Support data analysis and reporting related to resource planning and demand trends
- Additional Duties
- Manage the successful and timely delivery of smaller initiatives
- Participate in project discovery and governance meetings and propose improvements, if necessary
- Direct project correspondences by preparing and reviewing project scope, timeline, meeting minutes and emails
- Aid in the maintenance of department templates, records and resources, including team intranet and project team sites
- Provide additional administrative project support, as required
Requirements
- Bachelor’s Degree or equivalent work experience required
- Excellent organizational and administrative skills
- Strong interpersonal skills with a proven ability to push back and manage expectations professionally
- Pragmatic, self-disciplined and organized
- Ability to coordinate and communicate across cross-functional teams
- Ability to analyze problems, interpret operational needs and develop collaborative solutions
- Ability to multi-task in a fast paced environment
- Customer service orientation with a strong problem solving approach
- Exposure to project coordination, PMO or IT Operations
- Familiarity with Project or portfolio management concepts
- Desire to learn and grow career in a project management or analyst field
Skills
- Basic experience with the following tools: Servicenow or other Project and Portfolio management tools, Smartsheets or Excel, PowerBI (or similar reporting/dashboarding solutions), DocuSign or AdobeSign, Powerautomate or other workflow tools
