From coordinating with the finance team to managing the lifecycle of claims and jobs—from initiation to closure—you'll play a key role in keeping the organization organized and efficient. Your day will also involve hands-on tasks like submitting vendor invoices, entering purchase orders into systems such as BOLT and CLAIMTRAK, and participating in production meetings to provide updates on jobs and budgets. Responsibilities

  • Collaborate with operations teams to improve internal processes and maintain consistency across business units
  • Manage the full lifecycle of claims and job processes, from initiation to closure, ensuring timely file handling and updates
  • Partner with the finance team on vendor invoices, purchase orders, and job budgets, ensuring accuracy and timely reconciliation
  • Participate in production meetings for project updates and job progress, and manage job setup in systems
  • Set up new vendors, process invoices, and handle payments, ensuring proper documentation and communication with vendors
  • Assist with collections and manage third-party administrators (TPAs) and portals
  • Travel may be required

Requirements

  • Minimum of 1 year of experience in a fast-paced administrative role with proficiency in Excel, PowerPoint, and job management systems
  • Excellent organizational, problem-solving, and communication skills and the ability to handle multiple priorities
  • Ability to compile, analyze, and extract data from a variety of sources
  • Knowledge of the insurance restoration industry and experience with project tracking software, preferred
  • Must be bilingual (Spanish/English)
