About the role

The temporary advancement services coordinator will assist in gift processing, data maintenance and integrity, and operational tasks important to the overall effectiveness of the fundraising and marketing teams. This person is a CRM superuser with excellent attention to detail, contributing to accurate financial reporting while complying with campus, audit, and federal and state regulatory policies.

Responsibilities

  • Build dashboards, reports, lists, and communication plans in the CRM to advance the work of fundraising and engagement.
  • Assist in recording gifts and pledges to Central, received from various platforms, including accompanying activities such as receipts, acknowledgements, pledge reminders, and transmittals.
  • Understand IRS, CASE, and Central guidelines regarding the acceptance and documentation of gifts.
  • Assist with reconciliation of daily and monthly donation reports in partnership with the finance office.
  • Assist gift officers with loading contact reports, follow-up tasks, solicitation tracks, and proposal tracks, including initiatives, ask amounts, dates, solicitors, cultivation plans, and progress level of moves management for the gift officer team.
  • Responsible for strong partnership with financial aid in connecting annual Journey scholarship and endowed scholarship donors and students, ensuring donor criteria is met and communication plans to students and donors are executed.
  • Prepare donor recognition for donor walls, displays, and digital or print materials.
  • Work with outside vendors when appropriate and integrate information into the college system and processes.
  • Prepare data and reports for the vice president, advancement team, senior leadership team, board of trustees, and internal and external entities as needed.
  • Assist with signature campus events such as Homecoming, scholarship dinner, and giving days: HooRah Day, Thankful Thursday, and the 48 Hour Challenge.

Requirements

  • Bachelor’s degree or equivalent.
  • Two or more years of effective experience preferred but not required.
  • Willingness to learn CRM Advance and become a power user of this tool for data integrity, lists, and segmentation.
