About the role
The Technical Services Reporting Specialist manages invoicing activities for the National Accounts and Technical Services Group, supporting Customer Sales and Service through accurate invoice processing, documentation maintenance, new customer onboarding support, recurring report processing, and coordination with internal teams on pricing adjustments.
Responsibilities
- Accurately and timely enter invoices into the accounting system.
- Distribute invoices and supporting documentation to customers via mail or email.
- Verify invoice pricing, shipping reports, and conversions.
- Create and process credit and debit memos.
- Monitor and maintain in-transit shipments.
- Maintain organized electronic records of invoices and supporting documentation.
- Respond to customer inquiries and resolve invoice discrepancies.
- Assist with period-end close activities, including shipment review near cutoff dates.
- Process assigned recurring reports.
- Collaborate with National Account Managers and Business Development Managers.
- Participate in cross-functional teams to support growth of the National Account and Technical Services businesses.
- Effectively manage priorities and deadlines in a fast-paced, high-volume environment.
- Perform other duties as assigned by management.
Requirements
- High school diploma or equivalent and at least 3 years of relevant experience required.
- Strong numerical aptitude and attention to detail.
- Ability to meet daily deadlines with consistent accuracy.
- Effective written and verbal communication skills.
- Ability to interact professionally with customers, management, and internal teams.
- Demonstrated initiative, organization, and sense of urgency.
- Experience with data entry.
- Experience in customer service and accounting.
- Experience using Excel (including VLOOKUP and pivot tables), Word, and Outlook at an intermediate level.
Preferred Qualifications
- Associate degree or higher.
- Experience with NetSuite.
Work Environment
Fully office-based, requiring extended periods of sitting and computer use. Regular use of standard office equipment and verbal communication required. Work environment is generally quiet. Schedule flexibility required during accounting close periods and peak workloads.
Pay
The anticipated hourly range for this position is $23.00 - $26.00 an hour.
