About the role
As a Team Support Specialist, you'll play a key role in keeping our team connected, organized, and moving forward. You'll partner with leadership to support recruiting, coordinate high-impact meetings and events, and help create an exceptional experience for candidates, advisors, and team members.
Responsibilities
- Build and maintain recruiting pipelines by researching prospective advisors and managing prospect lists
- Coordinate recruiting events and activities, including candidate visits, office tours, executive travel, and follow-up communications
- Prepare recruiting materials, presentations, and weekly pipeline reports
- Manage logistics for recruiting events, leadership meetings, team offsites, advisor visits, and other team events
- Draft and edit correspondence, presentations, and other internal and external communications
- Maintain confidentiality while supporting the team with a variety of administrative and operational tasks
Requirements
- 2–3+ years of administrative, executive support, or office coordination experience
- Strong customer service and relationship-building skills
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, and Visio)
- Highly organized with the ability to manage multiple priorities in a fast-paced environment
- Self-motivated and proactive, with the ability to work independently and as part of a collaborative team
- Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels
- Detail-oriented, dependable, and committed to delivering high-quality work
- Excellent time management and problem-solving skills, with the ability to anticipate needs and adapt to changing priorities
