Reports to the Operations Manager, the Team Leader supervises a single location or multi-site business unit, focusing on associate supervision and achieving organizational goals. This highly visible role drives positive associate engagement and successful patient experiences, both in-person and via phone. It serves as a first-level exempt management position, offering career development for broader leadership roles.
Responsibilities
- Work with HR and leadership to interview candidates for openings.
- Consult with manager to provide coaching and document performance concerns immediately, thoroughly, and accurately.
- Partner with manager and/or HR to address and deliver formal corrective action.
- Ensure new employees are properly oriented and aware of performance expectations.
- Accurately maintain and approve associate timecards via payroll system by deadlines.
- Analyze staffing levels and schedule associates and providers to maximize efficiency and productivity.
- Maintain staffing levels based on established company metrics.
- Coach associates on meeting established work goals based on clinical and other key measurements.
- Evaluate associate performance and provide feedback in a timely manner.
- Conduct annual performance evaluations for direct reports, obtaining stakeholder feedback as necessary.
- Maximize retention and minimize associate turnover through effective management.
- Recognize employees for outstanding performance and maintain high associate engagement.
- Maintain a motivational, positive, and supportive working environment, including praise and recognition.
- Communicate and administer policies and procedures as outlined; consult with internal experts as needed.
- Resolve associate and provider issues with assistance from supervisor and/or Human Resources.
- Communicate goals, objectives, and financial performance to physicians and associates.
- Conduct regularly scheduled monthly meetings with associates to review practice performance goals.
- Prepare agenda with minutes for department leadership in a timely manner.
- Complete other duties and responsibilities as assigned, including filling in for other roles during short staffing.
Requirements
- High School Diploma or GED (Associate’s or Bachelor’s degree desired).
- 1+ year experience in healthcare.
- Experience supervising or coaching others in a business setting.
- Reliable transportation for local travel between work locations.
Skills
- Ability to manage and prioritize multiple tasks.
- Proficiency in Excel, EPIC, Word, Outlook, PowerPoint, and ability to learn other computer skills.
- Strong organizational skills and professionalism when working with doctors, hospital administration, management, employees, and the public.
- Knowledge of current practice management systems.
- Extensive knowledge of front-end operations (registration, charge entry, scheduling) and back-office workflow.
- Knowledge of clinical operations.
- Demonstrated ability to work successfully in a team-based decision-making culture.
- Demonstrated ability to work independently, resulting in effective outcomes and on-time performance.
- Experience in planning and coordinating multi-disciplinary communications strategies, initiatives, and events.
- Prompt response and follow-through with requests from patients and stakeholders.
- Attention to detail and careful, precise work.
- Resourcefulness and initiative in performing duties.
- Willingness to share information and cooperate with other departments and work groups.
