About the role
The Client Service Specialist (CSS) plays a crucial role within the Client Services Team (CST). They provide legal administrative support to attorneys, ensuring seamless transfer of information and managing client-specific data. The CSS collaborates with attorneys, paralegals, and clients to deliver high-quality service.
Responsibilities
- Answer and screen calls, providing client assistance and transferring calls to the appropriate parties.
- Work closely with attorneys and clients to ensure efficient information flow.
- Manage attorney calendars, coordinate meetings, and travel arrangements.
- Create, edit, format, and proofread legal documents, memoranda, and correspondence.
- Assist attorneys with drafting and formatting documents, and provide support during PTOs and back-up coverage.
- Transmit legal documents and correspondence electronically, via fax, email, and mail.
- Process new business requests, including opening matters, preparing and reviewing conflicts submissions, and closing cases.
- Manage client case files using appropriate recordkeeping software, and maintain accurate calendars for critical deadlines.
- Collaborate with Legal Team Assistants and other resources to complete projects and tasks.
- Maintain confidentiality and provide outstanding customer service to internal and external clients.
Requirements
- Associate’s Degree preferred; Bachelor’s Degree a plus.
- Minimum of 5 - 8 years related experience at a law firm or legal/corporate department.
- Highly proficient in legal terminology and experience working in relevant practice areas.
- Intermediate-level working knowledge of MS Office Suite including Outlook, Word, Excel, and PowerPoint.
- Keyboarding skills of 60 wpm or higher.
- Sedentary Work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Sitting most of the time, walking and standing may be necessary.

Skills
- Intermediate-level working knowledge of MS Office Suite including Outlook, Word, Excel, and PowerPoint.
- High level of proficiency using a variety of office equipment including personal computer, telephone, transcription equipment, printer, and copier.
