Job Summary
The Talent Acquisition Coordinator supports the organization's recruitment efforts by assisting with the coordination and administration of the hiring process. This role helps ensure a positive candidate experience by supporting sourcing, scheduling, applicant tracking, onboarding coordination, and recruitment activities. The Talent Acquisition Coordinator serves as a key support partner to hiring managers, candidates, and the Human Resources team throughout the recruitment lifecycle.
Essential Job Functions
- Support the recruitment process by assisting with job postings, candidate sourcing, applicant screening, interview scheduling, interviewing and maintaining accurate applicant tracking records.
- Assist with recruitment intake meetings and partner with hiring managers to understand staffing needs and requisition requirements.
- Conduct initial candidate outreach, phone screens, and candidate follow-up activities as assigned.
- Maintain and update job postings across various recruitment platforms and job boards.
- Coordinate interviews, candidate communications, and recruitment-related logistics.
- Assist with sourcing candidates through job boards, networking, employee referrals, career fairs, social media platforms, and other recruiting channels.
- Support recruitment events, job fairs, community outreach initiatives, and campus recruiting efforts.
- Build and maintain candidate pipelines for frequently recruited positions.
- Track recruitment activity and maintain reports regarding open positions, candidate flow, interview activity, and hiring status.
- Provide administrative support related to background checks, employment references, pre-employment requirements, and onboarding activities.
- Partner with the Human Resources team, hiring managers, and IT to facilitate a smooth onboarding experience for new hires.
- Assist in maintaining recruitment materials, employment advertisements, and candidate communications that reflect The Houstonian's culture, values, and brand.
- Support the development and distribution of recruitment marketing materials and social media content.
- Communicate employment opportunities, benefits, and organizational culture to prospective candidates.
- Ensure compliance with employment laws, company policies, and recruitment procedures throughout the hiring process.
- Maintain confidentiality of applicant and employee information at all times.
- Perform other related duties, projects, and responsibilities as assigned.
Qualifications
- Degree, coursework, or certification in Human Resources, Business Administration, or related field preferred but not required.
- 1-3 years of experience in recruitment, talent acquisition coordination, administrative support, hospitality operations, or human resources preferred.
- Previous experience in hospitality, luxury service, retail, or customer service environments preferred.
- Experience using applicant tracking systems (ATS), Paycom experience preferred.
- Bilingual in English and Spanish preferred.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Familiarity with recruitment platforms such as Indeed, LinkedIn, and other sourcing tools preferred.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Strong attention to detail and follow-through.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Strong customer service mindset and ability to build positive relationships with candidates, employees, and leaders.
- Ability to work independently while also functioning effectively as part of a team.

- Regular attendance is an essential function of this position.
- Flexible and willing to support occasional recruitment events outside of normal business hours as needed.
Physical Job Requirements
Must be able to meet the following minimum physical requirements for at least an eight-hour shift:
- Sitting/Standing: Ability to remain seated for extended periods of time at a desk. Regular standing to access files, office equipment, or to assist team members.
- Manual Dexterity: Frequent use of computer keyboard and mouse. Ability to operate standard office equipment including photocopiers, fax machines, and phone systems. Handling, sorting, and organizing paperwork and files.
- Lifting: Ability to lift and carry office supplies, paper reams, packages, and other related items weighing up to twenty pounds on a regular basis.
- Mobility: Ability to move around the office space, walk to and from departments or office sections. Ability to bend or stoop to access lower file drawers and shelves, with ability to walk throughout Campus.
- Vision: Close vision required for reading computer screens, documents, and files. Ability to adjust focus for tasks such as data entry, reading, and proofreading.
- Hearing: Ability to hear and understand spoken instructions, phone calls, and in-person conversations.
- Speech: Clear speech and communication skills necessary for telephone communication and face-to-face interactions.
- Environmental Tolerance: Ability to work in a standard office environment with controlled temperature settings. Tolerance to the sound levels typically present in an office environment, such as printers, phones, and light conversations.
- Endurance: Capacity to maintain productivity and efficiency, performing multiple tasks simultaneously.
