Responsibilities
- Cook up and coordinate interviews across various time zones, aligning everyone from candidates to hiring managers.
- Handle intricate scheduling logistics, including panel, executive, and high-volume interview calendars.
- Act as the go-to person for candidates during the interview process, offering timely updates, clear instructions, and a personalized touch.
- Plan and arrange candidate travel (flights, hotels, ground transportation), ensuring smooth itineraries for on-site or final-stage interviews.
- Process and track candidate expense reimbursements according to company policy.
- Prep and disseminate interview agendas, candidate profiles, and evaluation materials to interview teams.
- Keep accurate candidate records and update statuses within the applicant tracking system (ATS).
- Boost interview scheduling workflows, tools, and processes to enhance efficiency and minimize time-to-schedule.
- Monitor and report on scheduling metrics and coordination volume to provide insights for recruiting operations.
- Enhance the candidate experience by identifying gaps and suggesting improvements.
- Assist with additional talent acquisition administrative and coordination tasks as business needs change.
- Ensure compliance with all applicable local, state, and federal employment laws and OFCCP and EEOC guidelines.
Requirements
- US Citizenship or Permanent Resident required.
Qualifications
- Minimum: High school diploma/equivalent +8 years OR bachelor's degree +4 years of relevant experience.
- Preferred: 1-2 years of TA coordination, administrative assistant, and/or heavy calendaring/meeting scheduling experience.
- Advanced skills in Microsoft Office (Word, Excel, and Outlook) and internet research.
- Experience with Workday or similar information systems.
