About The Role

The Senior Associate, TA Operations will help keep Wayfair’s recruiting technology ecosystem running smoothly and evolving with the needs of the business. This role will primarily support Avature, while also partnering on Workday and other recruiting technologies. You will serve as a trusted point of contact for recruiter questions, manage day-to-day technology and process requests, and help ensure that system configurations and recruiting workflows remain accurate and compliant. As your expertise grows, you will take ownership of defined areas of system configuration and contribute to larger process improvement and technology initiatives. This is a hands-on role for someone who enjoys troubleshooting, improving how systems work, and translating technical details into practical guidance for recruiting teams.

Responsibilities

  • Provide Tier 1 and Tier 2 support to recruiters and hiring managers by answering system questions, troubleshooting issues, resolving access or workflow problems, and escalating more complex issues to the appropriate partners.
  • Manage the Talent Acquisition technology intake and KTLO queue, prioritizing requests, documenting resolutions, communicating status, and ensuring work is completed accurately and on time.
  • Maintain and update recruiting technology in response to evolving processes, including interview plans, templates, permissions, fields, workflows, and other configuration elements.
  • Support Avature as the primary recruiting technology, while developing working knowledge of Workday and other systems that connect to or support the recruiting process.
  • Monitor system and process compliance by completing audits, identifying data-quality issues, and partnering with recruiters and leaders to reinforce required recruiting practices.
  • Participate in testing and User Acceptance Testing for configuration changes, system releases, integrations, and process updates before they are launched to the recruiting organization.
  • Analyze recurring questions, defects, and user errors to identify root causes and recommend practical improvements, automation, documentation, or configuration changes that prevent repeat issues.
  • Create and maintain technical documentation related to configuration changes, including requirements, configuration specifications, testing results, implementation details, and change history.
  • Partner cross-functionally with Talent Acquisition, People Technology, vendors, and other stakeholders to support small projects and defined workstreams that improve recruiter and hiring manager experiences.

Requirements

  • 3+ years of experience in Talent Acquisition Operations, HRIS, recruiting coordination, recruiting systems administration, or a related operational or technology-focused role.
  • Experience supporting or administering an Applicant Tracking System, HRIS, CRM, or comparable enterprise business system. Avature-specific experience is not required; you complete Avature certification training as part of onboarding. We are looking for transferable systems-support experience and the ability to learn and apply those skills in a new platform.
  • Demonstrated critical thinking and problem-solving skills when the answer is not always clear by gathering information, identifying root causes, weighing options and trade-offs, making sound recommendations, and communicating clear next steps to technical and non-technical partners.
  • Strong customer-service mindset and the ability to support recruiters and hiring managers with patience, sound judgment, and practical solutions.
  • High attention to detail, particularly when working with permissions, workflows, templates, integrations, and candidate or requisition data.
  • Experience with process mapping, documentation, testing, ticket or intake management, and basic project coordination.
  • Ability to manage competing priorities, work independently within defined objectives, and adapt as recruiting processes and technology continue to evolve.
  • Strong written and verbal communication skills, including the ability to translate technical system constraints into clear guidance for recruiting teams.
  • Experience using or exploring AI and automation to build workflows that reduce manual effort, create efficiency in day-to-day operations, and improve the recruiting team’s experience.
