About the role

As a Surgical Care Coordinator, you will guide patients through their surgical journey from the initial surgical decision through scheduling, pre-operative preparation, surgery, and post-operative care. This cross-trained role combines senior pre-surgical clinical responsibilities with surgical counseling, patient education, scheduling, and surgical coordination. You will serve as a key liaison between the patient, physician, clinic, Pre-Surgical Department, and Surgery Center to ensure patients are clinically and operationally prepared for a successful surgical experience.

The ideal candidate enjoys both patient interaction and clinical work, is highly organized, and can manage multiple priorities while maintaining accuracy and a high level of patient service.

Responsibilities

Surgical Coordination & Patient Experience

  • Serve as the primary point of contact for patients throughout the surgical scheduling and preparation process.
  • Coordinate surgical procedures between patients, physicians, clinic teams, surgery centers, hospitals, and co-management locations.
  • Schedule pre-operative appointments, surgical procedures, and post-operative visits.
  • Follow up on cancellations, reschedules, second-eye procedures, medical clearances, and other outstanding surgical requirements.
  • Communicate changes, special instructions, and surgical preferences to all members of the care team.
  • Maintain knowledge of physician-specific surgical preferences, procedures, scheduling requirements, and protocols.
  • Ensure surgical charts, documentation, testing, and required information are complete and ready for surgery.

Patient Counseling & Education

  • Provide patients and families with clear education regarding surgical procedures, surgical technology, lens options, costs, pre-operative preparation, and post-operative expectations.
  • Reinforce physician recommendations and surgical plans.
  • Answer patient questions and help patients understand their surgical options.
  • Utilize diagnostic testing results to support patient-centered and realistic discussions regarding IOL options and refractive outcomes.
  • Help patients navigate the financial, clinical, and scheduling components of their surgical journey.
  • Maintain a friendly, positive, and caring attitude with patients, physicians, and staff.

Clinical / Pre-Surgical Responsibilities

  • Perform required ophthalmic testing, including but not limited to:
    • Biometry
    • Keratometry
    • Topography
    • Other testing required for cataract and refractive surgery
  • Accurately interpret and apply diagnostic data within established clinical workflows.
  • Complete necessary calculations and prepare surgical charts for final lens selection by the provider.
  • Demonstrate competency in basic clinical math and cataract lens calculations.
  • Maintain proficiency in ophthalmic testing and successfully complete required competency assessments.
  • Answer patient questions regarding intraocular lenses, surgical procedures, and post-operative medications within established guidelines.

Insurance & Authorization

  • Coordinate and track surgical pre-authorizations with insurance companies.
  • Partner with the billing/revenue cycle team to ensure authorizations and required documentation are completed accurately and timely.
  • Identify missing information or potential barriers to surgery and communicate them to the appropriate team members.

Team Development & Process Improvement

  • Follow all surgical scheduling protocols, checklists, and established workflows.
  • Support training and onboarding of new team members in surgical coordination, scheduling, and pre-surgical workflows.
  • Partner with leadership and peers to identify opportunities to improve the patient surgical experience, workflow efficiency, and accuracy.
  • Maintain high productivity while balancing clinical accuracy, scheduling requirements, and patient service.

Requirements

  • High school diploma or equivalent required.
  • Prior experience in a fast-paced medical or ophthalmology setting preferred.
  • Experience with electronic health records preferred.
  • Demonstrated proficiency in ophthalmic testing required, including biometry, keratometry, and topography.
  • Strong organizational and communication skills.
  • Ability to manage multiple priorities and maintain accuracy in a fast-paced environment.
  • Comfortable educating patients and discussing surgical options and expectations.
  • Ability to perform basic clinical math and accurately apply numerical data to clinical workflows.
  • CNA, MA, COA, or similar clinical experience preferred but not required.
  • COA certification preferred.
  • BLS certification required within three months of employment.

Physical Requirements

  • Ability to stand and walk for extended periods.
  • Ability to lift up to 25 pounds.
  • Ability to raise hands and arms to shoulder level without restriction, pain, or discomfort.
  • Ability to use phones, computer terminals, diagnostic equipment, and other clinical technology for extended periods.

Pay

$26.25–$33.00 per hour, based on experience, clinical competency, and certification.
