Surgery Scheduler
About the role
The Surgery Scheduler is responsible for coordinating and scheduling surgical and office-based procedures ordered by providers. This role ensures accurate scheduling, insurance verification, and authorization processing while supporting efficient clinic and hospital operations.
Responsibilities
- Cook up and schedule surgical and office-based procedures ordered by providers in a timely and accurate manner.
- Maintain and manage physician schedules to optimize coordination between hospital and clinic procedures.
- Verify patient insurance coverage and obtain required prior authorizations for surgical and in-office procedures.
- Identify and coordinate any specialized equipment, instrumentation, or personnel required for scheduled procedures.
- Absorb necessary medical clearances and required documentation prior to scheduled procedures.
- Assist with patient checkout processes and provide scheduling support to the front office team as needed.
- Communicate effectively with patients, provider offices, hospitals, surgical centers, and insurance carriers to coordinate care.
- Maintain accurate documentation of scheduling activities, authorizations, and patient communications in the electronic medical record (EMR) system.
- Provide exceptional customer service to patients, families, colleagues, and external partners.
- Maintain strict confidentiality of patient information in compliance with HIPAA regulations.
- Support onboarding and training of new employees as a preceptor when assigned.
- Perform additional duties as assigned by supervisors or management.
Qualifications
- Education: High school diploma or equivalent required.
- Experience: Prior experience in medical scheduling, surgical scheduling, referral coordination, insurance verification, or a healthcare administrative role preferred.
- Knowledge: Knowledge of medical terminology and insurance authorization processes preferred.
- Skills and Competencies: Proficiency in Microsoft Office and healthcare scheduling or EMR systems; strong verbal and written communication skills; excellent organizational skills and attention to detail; ability to manage multiple tasks and priorities in a fast-paced healthcare environment; strong interpersonal skills with the ability to work collaboratively across departments; ability to follow established policies, procedures, and office protocols; professional demeanor with strong customer service orientation; demonstrates discretion, tact, and diplomacy when handling sensitive information.
