The Surgery Scheduler plays a crucial role in managing complex operational logistics, ensuring seamless alignment of resources, personnel, and services. Key responsibilities include managing intricate scheduling and resource allocation, producing schedules, and overseeing template maintenance.
Responsibilities
- Expertly manage intricate scheduling and resource allocation
- Meticulously enter and maintain data
- Produce schedules and oversee template maintenance
- Demonstrate exceptional organizational skills and meticulous attention to detail
- Show strong communication and proficiency with scheduling systems
- Operate with a proactive approach and commitment to operational precision
- Consistently demonstrate customer service expectations as outlined in the Dignity Health Medical Foundation audit tools
- Engage in professional business-related conversations and avoid personal conversations where patients may hear them
- Retrieve and prepare patient medical information as needed
- Accurately collect and data entry of payments and provide a receipt
- Follow all cashiering, batching, and end of day balancing procedures
- Enter referrals and authorizations within 24 hours of receiving them
- Follow up daily on all active and pending referrals and authorizations
- Educate patients on the status of their referral or authorization
- Schedule tests, surgeries, or procedures and provide preparation instructions
- Identify and participate in improving physician efficiencies
- Proactively involve others in planning and prioritizing work
- Seek assistance from leadership when unsure of what to do or how to handle a situation
- Keep workspaces and patient areas clean and clutter-free
- Maintain a professional appearance and follow all dress code guidelines
- Be flexible to change work hours/days and float to support others
- Initiate ways to increase physician productivity
- Utilize and maintain equipment properly to minimize repair and service calls, maximize equipment longevity, and increase cost effectiveness
- Order only necessary items, maintain PAR levels, and share supplies to eliminate unnecessary spending
- Utilize work time efficiently through proper time management
- Adhere to time and attendance policies and procedures
- Promptly refer patients to the billing office for extensive billing questions
- Document insurance cards, referrals, auths, and other billing data
- Encourage feedback from patients and co-workers
- Seek alternative ways of doing things quicker with less resources
- Report items that require attention
- Share ideas and give feedback
- Initiate and offer ideas and solutions when problems arise
- Can verbalize fire and disaster plan
- Meet all OSHA standards
- Attend all required training as scheduled
- Know how to utilize incident reporting system and compliance hotline
- Adhere to all patient confidentiality requirements
Requirements
- Six (6) month's experience in an outpatient setting as a Medical Office Receptionist preferred; or an equivalent amount of experience in a high-volume customer service role in another industry/environment; or six (6) months experience as a Phone Receptionist or Health Information Associate within Dignity Health Medical Foundation
- A High School diploma or equivalent
- Excellent interpersonal, organizational, and customer service skills are essential
- Keyboarding skills and the ability to utilize computer equipment and software are required as is experience with other types of standard office equipment
Preferred
- Familiarity with an electronic practice management system is preferred
- Experience with multi-line phones/ACD phones preferred
- Medical terminology preferred
Qualifications
