Coordinates surgical scheduling for multiple physicians in a busy surgical practice, including pre-admission history and physicals, OR times, COVID testing, bed requests, diagnostic procedures, and daytime add-on or in-house cases.
Responsibilities
- Communicate with patients in person or via telephone with a cheerful and helpful attitude.
- Coordinate surgery details with physicians, patients, facilities, and vendors.
- Obtain surgical procedure and diagnosis codes to authorize/pre-certify surgery.
- Contact the billing department for pricing for out-of-network and self-pay patients.
- Provide support to physicians, clinical, and clerical team members regarding scheduling challenges.
- Complete pre-certification/authorization with the patient’s insurance company, including necessary documentation.
- Schedule peer-to-peer discussions with providers if needed.
- Document authorization/pre-certification details and contact information.
- Coordinate surgical clearance appointments between patients, departments, other providers, and/or PCPs.
- Notify patients of scheduled procedures and provide pre-op instructions.
- Copy and mail patient instructions and necessary documents.
- Coordinate with the hospital to confirm patient arrival times and relay this information to patients.
- Enter surgeries into the Surgical Booking module in the EMR and maintain up-to-date spreadsheets.
- Assist in reviewing and revising scheduling policies and procedures.
- Attend weekly/quarterly meetings with physicians to review procedures and caseloads.
- Verify add-on cases performed after hours and confirm surgeries for accurate billing.
- Review OR schedule against office physician schedule for accuracy and update the EMR system.
- Facilitate timely and efficient patient transportation to/from procedures when needed.
- Communicate via EMR with providers and departments regarding surgical cases.
- Act as a regional liaison for RRH affiliates and regional sites needing assistance with procedure coordination.
- Obtain records from affiliates and sites not on EMR when necessary.
- Perform additional responsibilities to ensure practice efficiency.
- Maintain operational knowledge of department equipment (telephones, computers, faxes, copiers, printers, etc.).
Requirements
- Bachelor’s degree in business, social sciences, human resources, or equivalent preferred; equivalent combination of education and experience will be considered.
- Three or more years of relevant healthcare experience preferred.
- Strong analytical, computer, organizational, customer service, and communication skills.
- Knowledge of IDX and CCS is beneficial for transportation departments.
- Strong written and verbal communication skills.
Physical Requirements
- Sedentary work: Exerting up to 10 pounds of force occasionally.
- Involves sitting most of the time but may require walking or standing for brief periods.
Pay
$18.00 - $23.00 per hour
