About the role
Provide secretarial and office administration support to a Department or School in order to enable effective and efficient office workflow and operations requiring independent judgment, decision making and a high degree of confidentiality.
Responsibilities
- Handle incoming calls and emails, routing appropriately or escalating issues as necessary
- Arrange meetings and travel arrangements for departmental staff
- Prepare and maintain files and records, ensuring accuracy and security
- Coordinate events and seminars within the department or school
- Manage the department's mail system, including sorting, distributing, and filing
- Assist with budgeting and financial reporting as needed
- Support the department head with administrative tasks as required
Requirements
- Bachelor's degree in Business Administration, Secretarial Science, or related field
- Minimum 2 years of relevant experience in an administrative or secretarial role
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite, particularly Outlook and Excel
- Ability to handle sensitive and confidential information with discretion
