Wage/Salary Range: $34.96 per hr.

Essential Duties & Responsibilities

  • Affiliate with Coordination and scheduling of kick off meetings associated with service work and subcontract activities in support of the Service Order Manager
  • Affiliate with Preparation and distribution of schedules and updates to stakeholders
  • Affiliate with Facilitation of submission of required vendor and subcontractor deliverables, including but not limited to: Visitor requests, Vehicle requests, Project schedules, Meeting agendas, Contract closeout documentation, Conduct market research as requested
  • Affiliate with Development, documentation, and distribution of meeting agendas and minutes
  • Affiliate with Maintenance of vendor and subcontractor databases and documentation
  • Affiliate with Handling incoming calls, visitors, and general inquiries, directing them as appropriate
  • Affiliate with Composing, formatting, and distributing correspondence, reports, spreadsheets, and presentations
  • Affiliate with Maintaining calendars, schedules, and appointments
  • Affiliate with Processing incoming and outgoing mail and communications
  • Affiliate with Maintaining department files, records, and documentation systems
  • Affiliate with Monitoring and replenishing office supplies; assisting with inventory management
  • Affiliate with Inputting, tracking, and extracting data from company and customer databases
  • Affiliate with Preparing reports to support operational and contractual requirements
  • Affiliate with Tracking administrative processes, communications, and performance metrics
  • Affiliate with Supporting all departments and management personnel as needed
  • Affiliate with Operating Government or company vehicles/equipment, if required
  • Affiliate with Ensuring compliance with safety policies and standard operating procedures

Required (Minimum Necessary)

  • Associate degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience)
  • Minimum of two (2) years of relevant experience in administrative support, accounting, project coordination, or government contract support
  • Alternatively: High school diploma or GED with five (5) years of administrative/secretarial experience, or Three (3) years of experience with an associate’s degree or higher
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Typing speed of at least 45 words per minute
  • Excellent written, verbal, and interpersonal communication skills
  • High degree of confidentiality and professionalism
  • Ability to work independently, including in remote environments
  • Ability to pass pre-employment background check and drug screening
  • Ability to obtain and maintain a Top Secret/SCI security clearance
  • Ability to obtain and maintain the Facility Management course
  • Must be a U.S. Citizen

Necessary Physical Requirements

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this role.
  • Employees must always maintain a constant state of mental alertness.
  • The employee is regularly required to hear, talk, sit and use a keyboard and phone.
  • The employee may be occasionally required to reach and lift, handle, or move objects weighing up to 40 pounds.
  • Work is mostly performed from a sedentary posture.

Additional Qualifying Factors

  • As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results.
  • If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.
