About the role
The Support Staff II Floater provides administrative and clerical support to various programs and departments within The Guidance Center, ensuring continuity of services by filling in for absent support staff or assisting with special clerical office projects.
Responsibilities
- Travel between departments and/or satellite locations as assigned.
- Provide cross-coverage for front desk staff and other administrative roles during absences or high-volume periods.
- Adapt quickly to varying workflows, team cultures, and procedures.
- Maintain awareness of each department’s protocols and adjust work habits accordingly.
- Serve as office receptionist, answering telephones, recording, and distributing messages.
- Review, evaluate, verify, and enter admission documents and information into the electronic health record system (EHR).
- Gather client information and fees as needed and identify insurance changes.
- Schedule client appointments in coordination with clinical staff and CAU, including psychiatric appointments and assessments.
- Track various data for programming needs and maintain data in binders/spreadsheets.
- Prepare and send letters as requested.
- Email/communicate incident reports to QI and related team members and maintain binder.
- Prepare programming documents for staff.
- Perform general secretarial duties including typing, copying, and filing.
- Verify Medicaid and other insurance information monthly; complete change forms and submit updates to Financial Support Staff.
- Work in coordination with other support, case management, and clinical staff.
- Complete 24 hours of program and/or position-specific training annually.
- Other duties as required.
Requirements
- High School diploma with a minimum of 2 years of clerical/reception experience.
- Proficiency in a variety of computer programs, especially word processing software and dedicated software systems.
- Excellent written, verbal, communication, organizational, and multi-tasking skills.
- Ability to attend to details, track, and prepare data accurately and in a timely manner.
- Ability to interpret a variety of instructions furnished in writing or orally.
- Ability to work with a wide variety of clients and staff.
Schedule
- Monday through Thursday: 8:00 AM – 4:30 PM (with evening coverage as needed).
- Fridays: 8:00 AM – 5:00 PM.
- Some Saturdays: 9:00 AM – 2:00 PM.
Pay
This position is classified as salary grade 103 with hourly rates starting at $19.16. The estimated salary will vary based on a candidate's transferable work experience and qualifications.
