About the role

Harbor is seeking a Support Services Specialist to provide front desk support to various Harbor locations in the Toledo area. This is a full-time, 1st shift, 40 hours per week position.

Responsibilities

  • Answers all calls in a professional, warm, courteous, and efficient manner in accordance with organization’s Vision XXI service excellence efforts.
  • Transfers calls to Voice Mail or takes accurate written messages and proper and prompt delivery.
  • Answers all incoming calls from clients regarding their appointments which include new and follow-up appointments, cancellations, and rescheduling.
  • Schedules ongoing appointments for other Harbor locations.
  • Collections payments from clients as required. Reconciles cash box and completes deposit or distributes cash drawer to designated person, as assigned.
  • Performs opening/closing duties as assigned.
  • Provides quality and timely support to both internal and external customers and strives for customer satisfaction.
  • Keeps current with trends and developments related to essential job competencies and demonstrates continued growth.
  • Distributes mail as assigned.
  • Verifies client information and scans updated insurance information into the client record.
  • Maintains client flags for support related issues at time of visit.
  • Responds to email, Teams, and written requests from other departments in a timely manner.
  • Attends support staff and other meetings as appropriate and serves on office committees as assigned.
  • Keeps current with trends and developments related to essential job competencies and demonstrates continued growth.
  • May float to other locations to accommodate client or agency needs.
  • Follows crisis prevention and intervention protocols.
  • Accepts and completes other duties as assigned.
  • Utilizes IT system and other system software programs appropriately.
  • Reaches conclusions promptly and takes definite course of action.
  • Plans and organizes work for maximum effectiveness and efficiency.
  • Utilizes supervision appropriately.
  • Utilizes time off appropriately and consistent with Harbor policies.
  • Performs other duties as assigned.

Requirements

  • A high school diploma or equivalent required with two years of closely related office experience strongly preferred.
  • Previous data entry experience.
  • Ability to handle multiple-line phone system and busy waiting room simultaneously.
  • Excellent customer service skills required; Ability to communicate clearly and effectively with a variety of people and be a team player.
  • Flexibility, strong multi-tasking skills, and excellent organizational skills are also required.
  • Ability to manage stress and maintain client confidentiality.
  • Must be proficient and accurate in computer use, including Microsoft Office.

Qualifications

  • High school diploma or equivalent required.
  • Two years of closely related office experience strongly preferred.
