Supply Chain Management (SCM) Coordinator

About the role

This role sits at the center of a busy commercial refrigeration/HVAC service operation, connecting field technicians, vendors, dispatch, project managers, and customers. The person in this seat turns technician field notes into accurate cost estimates and keeps parts moving so service jobs stay on schedule. Success in this role means speed, accuracy, and relentless follow-through.

Requirements

• 3+ years in supply chain coordination, purchasing, procurement, or service operations, ideally within commercial refrigeration; related HVAC, electrical, mechanical, or industrial service backgrounds also considered
• Comfort reading and interpreting technician field notes, equipment manuals, and part diagrams
• A demonstrated sense of urgency and strong organizational skills for juggling multiple open quotes and orders at once
• Proven track record sourcing parts, negotiating delivery commitments, and holding vendors accountable
• Strong written and verbal communication for internal updates and customer/vendor follow-up

Skills

• Workforce Management Systems, with BuildOps experience strongly preferred
• ServiceTitan or ServiceTrade experience is a plus
• Microsoft Excel proficiency

Responsibilities

• Quote Development: Monitor the service queue daily for jobs in "Quote Needed" status and review technician notes to scope the work
• Price parts, equipment, and labor to build accurate draft quotes quickly
• Route completed quotes for internal approval before they go to the customer
• Track outstanding quotes and follow up proactively on approvals or rejections
• Parts Sourcing and Delivery: Review notes for jobs marked "Parts Needed" to determine material requirements
• Source from approved vendors, secure competitive pricing, and place orders promptly
• Lock in firm delivery dates at time of order to protect service timelines
• Track shipments and keep the team informed on delivery status
• Push back on vendors when orders slip, to minimize customer downtime
