Supervisor, Onboarding Operations
About the role
The Supervisor of Onboarding Operations provides operational leadership and direct supervision to the onboarding team and is responsible for overseeing the day-to-day execution, quality, and performance of onboarding operations across the organization.
Responsibilities
- Provide day-to-day operational leadership, supervision, coaching, and performance management for onboarding coordinators while fostering a collaborative, accountable, and service-focused team environment.
- Oversee onboarding operations across assigned regions and business lines to ensure timely, accurate, compliant, and high-quality onboarding execution aligned with departmental priorities and organizational objectives.
- Maintain and strengthen operational relationships with affiliated hospital systems and external partners to support employee clearances, onboarding requirements, badge access, and ongoing compliance coordination.
- Oversee onboarding compliance activities, including auditing onboarding documentation, monitoring onboarding requirements, and ensuring onboarding records, employee files, and related processes remain accurate, organized, compliant, and audit-ready.
- Monitor onboarding quality metrics, operational performance indicators, rejection trends, turnaround times, and service delivery outcomes to identify trends, risks, and opportunities for improvement.
- Analyze operational gaps and recurring issues and implement workflow enhancements, corrective actions, and process improvement initiatives focused on scalability, operational efficiency, compliance, and candidate experience.
- Develop, maintain, and optimize onboarding procedures, workflows, training materials, and standard operating procedures to support operational consistency and organizational growth.
- Participate in the interviewing, selection, onboarding, training, development, and performance management of onboarding staff.
- Support onboarding-related reporting, audits, data validation, and operational reporting activities as requested.

- Working knowledge of federal and state employment regulations and onboarding-related compliance requirements, with the ability to apply established policies, procedures, and escalation protocols appropriately.
- Demonstrated ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment.
- High level of accountability, ownership, initiative, and follow-through on assigned responsibilities and operational outcomes.
- Strong computer skills with advanced working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to work independently while effectively leading and supporting a team environment.
- Ability to adapt quickly to changing organizational priorities, operational demands, and business needs.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
- Minimum of 3–5 years of experience in onboarding operations, HR operations, healthcare operations, or related operational leadership roles preferred.
- Prior supervisory or team leadership experience preferred.
- Experience working with HRIS systems, onboarding platforms, reporting tools, and operational tracking systems preferred.
- Experience leading high-volume onboarding operations, process improvement initiatives, and cross-functional operational workflows preferred.
- Experience working in healthcare or other highly regulated environments preferred.
