Job Purpose
Reporting to the Facility Manager, the Facilities Supervisor supervises and coordinates the day-to-day maintenance and repair of buildings, grounds, and associated equipment. The supervisor oversees staff that installs, inspects, repairs, and maintains building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management.
Essential Duties And Responsibilities
- Supervisors the day-to-day facilities operations of the planning, operation, repair and maintenance of heating/cooling, electrical, emergency power, and fire protection as well as plumbing, grounds, carpentry, waste management and building key management.
- Oversees general department operations, establishes work schedules, issues daily work assignments and responds to requests for service.
- Identifies and addresses all safety issues.
- Identifies and recommends changes and improvements in the physical plant to be consistent with appropriate codes and authorities to ensure safe operation.
- Ensures compliance with federal, state, and local regulatory and accrediting agency standards and guidelines for facilities operations this includes accompanying authorities on inspecting building and utility systems.
- Coversmall to medium construction projects to include communicating scheduled interruptions, reviewing specifications and blueprint documents, inspecting quality of installations and repairs, and ensuring that contractual provisions and construction schedules are met and satisfy appropriate standards.
- Develops and monitors work order management. This includes daily review and prioritization of work orders including daily communications.
- Develops and monitors preventative maintenance and life-cycle requirements for HVAC, plumbing, life safety equipment, electrical and all other mechanical equipment.
- Conducts and documents monthly facilities inspections.
- Prepares bi-annual and annual budget to be reviewed by Facility Manager.
- Plans, directs and estimates time and materials needed for the activities of labor personnel, schedules duties, establishes and review operating instructions, rules and regulations with staff to ensure work is performed within guidelines.
- Responsible for record keeping of activities linked to facilities management. This includes staff assignments and hours, materials and equipment used, and any budget allotments factored into those activities.
- Ensures all procedures, manuals and guidelines for all facility tasks are available and updated according to building codes and compliance.
- Implements best practice processes to increase efficiency.
- Calculates and compares costs for goods and services to maximize cost-effectiveness.
- Develops and generates scope of work for vendor proposals.
- Negotiates with vendors to optimize delivery and cost saving.
- Manages contractor and vendor relationships.
- Reviews service contracts to ensure facility management needs are being met.
- Generates and presents regular reports and reviews of facility-related budget, finances, contracts, expenditures and purchases.
Qualifications
- Education: A post-secondary education and/or 2-3 years’ experience working in facilities management preferably in a manufacturing setting.
- Knowledge, Skills, & Abilities:
- Demonstrated knowledge and skills in facilities management.
- Working knowledge of principles and practices of project management.
- Working knowledge of electrical and mechanical systems.
- Working knowledge of procurement and contracts.
- Sound knowledge of health, safety and environmental regulations.
- Experience in construction, maintenance and all facets of facility operation.
- Excellent customer service and communication skills to support and build relationships.
- Demonstrated effective interpersonal, verbal and written communication skills.
- Ability to navigate with flexibility in a changing business environment.
- Ability to work in a diverse work environment.
- Demonstrated experience with continuous improvement process and initiatives.
- Demonstrated ability to use computer software and ERP systems. Microsoft Excel, Word and Power Point preferred.
