The Subcontract Administrator will support complex, large-scale programs through effective subcontract management and procurement coordination. Key responsibilities include:

  1. Manage subcontracting activities across multiple programs, ensuring accurate documentation, effective supplier relationships, and compliance with contractual requirements.
  2. Support procurement operations by coordinating proposals, negotiations, contract execution, reporting, and closeout activities.
  3. Prepare request-for-proposal documentation and verify proposal packages for completeness and accuracy.
  4. Review subcontractor proposals, evaluate capabilities, and support negotiations regarding terms, conditions, and requirements.
  5. Prepare, issue, and maintain subcontract agreements, amendments, and related documentation.
  6. Ensure subcontract terms include appropriate contractual flow-down requirements and compliance obligations.
  7. Develop reports, correspondence, and tracking records to support project management and client visibility.
  8. Maintain subcontractor files, including payment records, documentation, and administrative updates.
  9. Perform subcontract closeout activities, ensuring all required documentation is completed and properly archived.
  10. Serve as a liaison between internal teams and subcontractor personnel to facilitate effective communication.
  11. Provide guidance and support to junior subcontract administration team members when needed.

Requirements:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • U.S. citizenship required.
  • Experience supporting subcontract administration, procurement, contracts, or related business operations.
  • Strong understanding of procurement principles, including solicitation, proposal analysis, subcontract award, administration, and closeout processes.
  • Effective communication skills, both internally and with suppliers and customers.
  • Strong organizational, workflow management, and documentation skills.
  • Ability to adapt to changing priorities and support continuous improvement initiatives.
  • Proficiency with Microsoft Office applications.
  • Experience with financial or procurement systems such as Costpoint or similar platforms preferred.
  • Knowledge of defense industry, engineering labor subcontracts, construction subcontracting, or federally funded projects preferred.
  • Experience managing IDIQ/task order agreements is a plus.
