About the Role
The Subaward Coordinator plays a key role in the VCU Office of the Vice President for Research and Innovation, supporting transformative research, discovery, and innovation by facilitating subawards and subcontracts for faculty across all schools and departments.
Responsibilities
- Process subawards/subcontracts to external entities for funds received from public, non-profit, and industry sources across various project types (research, service, clinical trials, outreach, etc.).
- Advise and assist faculty and staff throughout the subawarding process, collaborating with key stakeholders to set priorities and streamline workflows.
- Prepare subawards/subcontracts by gathering relevant information from principal investigators and subrecipients, reviewing prime award terms, developing and negotiating subaward language, and issuing subawards/amendments.
- Coordinate compliance issues by analyzing internal and external regulations, rules, policies, and guidelines, and provide recommendations to senior staff to ensure adherence.
- Manage the subrecipient process and data in RAMS-SPOT (Research Administration Management System – Sponsored Programs Online Tracking), document encumbrances in the financial management system (Banner), and maintain subaward project files.
Requirements
- Bachelor’s degree in a related field plus 2+ years of relevant experience (5+ years preferred for progressive experience in research administration, including contract/subcontract negotiation).
- Demonstrated ability to work professionally and respectfully with faculty, staff, and students from diverse backgrounds, or a commitment to fostering such an environment.
- Strong organizational, analytical, and problem-solving skills with keen attention to detail.
- Excellent written and oral communication skills.
- Ability to prioritize tasks, manage multiple responsibilities in a fast-paced environment, and provide excellent customer service to a diverse population.
Preferred Qualifications
- Working knowledge of academic research operations and business practices.
- Experience with RAMS-SPOT or a comparable research administration system.
- Strong knowledge of federal regulations, including Uniform Guidance and the Federal Acquisition Regulations.
- Experience with clinical trials and associated compliance requirements.

Pay
$58,000 - $65,000 per year.
