About the role

Gensler’s Columbus office is seeking a part-time, temporary Studio Coordinator to support Principals, Studio Leaders, and all members of the team. This temporary position provides coverage through February, with the potential for a full-time opportunity based on business needs. The role is fully in-office/onsite.

Responsibilities

  • Maintain Principals' and Studio Leaders' calendars
  • Maintain and support relationships with clients and prospective clients
  • Assist with marketing efforts as needed (e.g., supporting responses to RFPs)
  • Generate, compose, proof, format, and issue business correspondence
  • Type and file project correspondence and meeting notes for team members
  • Coordinate meetings with the Office Services Coordinator, including setting up meeting/presentation rooms, ordering lunch, coordinating overnight client stays, and organizing client entertainment
  • Organize project files and spreadsheets relating to correspondence with clients and consultants
  • Provide backup to other studio coordinators and the receptionist as needed
  • Make travel reservations for studio members and coordinate through Gensler’s firmwide travel agency
  • Organize and attend weekly studio leadership meetings
  • Maintain professional credentials for the Principals in the studio
  • Handle public relations compositions, mailings, and distribution of incoming/outgoing mail and packages
  • Coordinate dead filing for project files
  • Manage the studio PTO calendar
  • Assist studio staff with completing expense reports and timesheets on time
  • Collect studio members’ timesheets for Studio Directors' approval
  • Complete research projects as needed
  • Greet clients for meetings and assist clients over the phone
  • Organize monthly studio meetings
  • Encourage studio morale by organizing occasional in-studio happy hours
  • Update marketing and staffing reports weekly
  • Perform miscellaneous tasks requested by Studio Principals, Studio Leaders, or team members

Requirements

  • Minimum 5 years of experience in a professional administrative position
  • A/E/C industry experience is a plus
  • Ability to problem-solve, both individually and as part of a team
  • Minimum typing speed of 65 wpm
  • High School degree with appropriate experience, or a Business School Certificate or College Diploma

Skills

  • High proficiency with Microsoft Office (Word, Excel, PowerPoint)
  • Proficiency with Adobe products such as InDesign, Illustrator, and/or Photoshop
  • Excellent verbal and written communication skills
  • Ability to prioritize business responsibilities
  • Clear and articulate phone communication
  • Self-motivated with minimal guidance required
  • Positive attitude and willingness to “go the extra mile”
  • Ability to work independently
  • Availability for overtime on an as-needed basis
