Responsibilities
- Welcome guests and help manage the day-to-day flow of the studio, phones, and incoming communication
- Coordinate mail, deliveries, shipments, and office logistics
- Keep office supplies, snacks, kitchen items, and shared spaces organized and stocked
- Track administrative expenses and help manage office-related budgets
- Help keep the studio clean, organized, and running smoothly day-to-day
- Coordinate meetings, conference room scheduling, client lunches, and other hospitality details
- Support scheduling and administrative coordination for leadership and the People Operations team
- Help answer employee questions and support day-to-day team needs
- Maintain shared digital resources, trackers, and internal systems
- Coordinate guest presentations, internal programming from scheduling through setup
- Assist with office events, celebrations, team gatherings, and studio engagement activities
- Coordinate with vendors, building management, and maintenance providers as needed
- Support team travel coordination and other administrative logistics
- Help lead employee recognition efforts, including birthdays, anniversaries, and life events
- Partner with leadership and operations teams to create a welcoming, organized, and thoughtful studio experience
Requirements
- Previous professional experience in office coordination, administrative operations, workplace experience, hospitality, People Operations, or a related role
- Ability to work in-person from our Austin, TX office on a full-time basis
- Strong organizational skills and the ability to manage multiple priorities simultaneously in a fast-paced environment
- Excellent written and verbal communication skills with a high level of professionalism and hospitality
- Strong attention to detail and follow-through
- Demonstrated ability to take initiative, problem solve, and work independently while collaborating closely with a team
- Experience coordinating meetings, events, schedules, or office operations
- Comfort working with digital systems, shared calendars, spreadsheets, and communication platforms
- Positive attitude, strong interpersonal skills, and a willingness to support a collaborative studio culture
- Appreciation for design, hospitality, and contributing to a creative workplace culture
