Department Specific Responsibilities
- Serves as the primary administrative support for the School of Education office, providing exceptional customer service to prospective students, current students, faculty, staff, alumni, and community partners.
- Coordinates student-facing processes including admission inquiries, program information, graduation applications, licensure documentation, and field experience communications.
- Assists with scheduling and coordination of School of Education meetings, faculty meetings, advisory board meetings, student orientations, recognition ceremonies, and special events.
- Supports faculty with course scheduling, classroom logistics, textbook orders, instructional materials, travel documentation, and other academic administrative functions.
- Maintains student and departmental records while ensuring compliance with university policies, accreditation standards, and applicable state licensure requirements.
- Assists with data collection, report preparation, and documentation required for state reporting, accreditation reviews, and program assessment initiatives.
- Coordinates office purchasing, supply inventory, and payment requests using university financial systems.
- Collaborates with campus offices including Admissions, Registrar, Financial Aid, Academic Advising, Student Affairs, Human Resources, and the Office of Clinical Experiences to support student success.
- Monitors shared departmental email accounts and respond to inquiries or direct requests to the appropriate faculty or staff member.
- Assists with onboarding adjunct faculty and supporting administrative processes related to instructional appointments.
- Coordinates logistics for educator preparation activities including workshops, information sessions, teacher recruitment events, and community outreach initiatives.
- Maintains departmental webpages, calendars, and communication materials to ensure accurate information is available to students and stakeholders.
General Responsibilities
- Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives.
- Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
- Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
- Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.
- Accurately maintains electronic records and databases.
- Provides directions, support, and information to student organization representatives and other visitors to the department.
- Assists with daily scheduling, training, and gathering of student feedback.
- May prepare and disseminate handouts, presentations, or other materials.
- May assist with ordering or creation of promotional materials for student organizations or departmental needs.
- May provide guidance to other Student Services Coordinators.
Education
- High school diploma or equivalent (such as HSED or GED).
Work Experience
- Required: 2 years of in-office environment, higher education, or related field.
- Preferred:
- Experience working in higher education, K-12 education, or an academic department.
- Experience providing administrative support in a fast-paced office with multiple priorities.
- Experience coordinating faculty travel.
- Experience coordinating meetings, events, or student programs.
- Experience maintaining confidential student or personnel records.
- Experience working with databases or student information systems.

- Experience using enterprise software such as PeopleSoft, Slate, Canvas, Microsoft 365, or similar systems is preferred.
Pay
Salary Range: $33,000 - $42,307.00 annually
