Student Records Specialist
About the role
The Student Records Specialist (SRS) works in a team environment to ensure the accuracy and integrity of student records upon which all campus and central departments rely. The SRS will be assigned to one of the three teams in the Office of Student Records. The SRS will be cross-trained to assist other teams as needed, enhancing professional development.
Responsibilities
- Process student status and data changes from the point of new enrollment through graduation/exit in a timely and accurate manner.
- Maintain all electronic and paper student records through accurate verification of information and data entry.
- Collect and enter attendance information, data changes, status changes, missing and incomplete grade changes in a timely manner.
- Prepare and inventory records as required for offsite storage.
- Conduct regular and quarterly audits of student records to ensure data reliability and accuracy.
- Assist with the preparation and support of internal and external audits/visits during which student records are reviewed.
- Conduct end of quarter/start of quarter audit for accuracy of census lockdown data; partner with respective team members to address and resolve inaccuracies.
- Produce and validate the accuracy of reports provided to campus and central departments (i.e. award letters, diplomas, honors).
- Fulfill requests for Rasmussen transcripts and document the activity.
- Support campus and community activities such as career fairs, graduation ceremonies, etc.
- Develop and nurture collaborative relationships with peers and managers to support the team effort for student and University success.
- Keep abreast of and maintain strict adherence to all institutional, governmental and accreditation policies and regulations, and codes of conduct at all times.
- Possess a high level of integrity in all interactions with students and employees by showing a regard for both the stated expectation of the policy as well as its intent.
- Actively contribute to the learning environment and collegial experience for students and employees; provide constructive and appropriate input and ideas to assist the University in decision-making and process improvement.

Requirements
- Associate’s degree required; Bachelor’s degree preferred.
- Ability to work a flexible schedule including evenings and weekends.
- Candidates must possess strong organizational skills with the ability to multi-task and manage interruptions while delivering within tight deadlines.
- Must have a strong command of the English language, in both oral and written form.
- Proficient in Microsoft Office Suite, in particular, proficiency in MS Excel; student information system experience preferred.
- Ability to work independently and collaboratively as a member of a team and with other departments both in person and virtually.
- Proven customer service in a professional environment.
- Must be self-motivated and directed, and be flexible, patient and solutions-oriented.
