About the role

The Graduate School is seeking a detail-oriented and organized Student Program Coordinator, Sr. to support graduate students throughout their academic journey, from admission through graduation. This position processes and maintains student records and documentation related to admissions, academic milestones, program requirements, final examinations, thesis and dissertation submission, and degree certification. The successful candidate will work closely with students, faculty, and academic departments to interpret requirements, resolve record and processing issues, and ensure accurate and timely completion of Graduate School processes. Strong organizational skills, attention to detail, sound judgment, and a commitment to excellent customer service are essential for success in this role.

Responsibilities

  • Provides comprehensive administrative support for graduate student admissions, academic progression, and degree certification.
  • Manages and processes student records and required documentation throughout the graduate student lifecycle, from application and admission through graduation.
  • Reviews graduate applications and supporting materials for completeness and compliance with university and Graduate School requirements.
  • Maintains accurate application and student records.
  • Communicates with applicants, students, academic departments, and faculty regarding requirements, deadlines, documentation, and the status of student records.
  • Resolves routine processing issues and discrepancies.
  • Receives, reviews, processes, and maintains graduate student forms and records related to registration, program of study, committee and program requirements, final examinations, thesis and dissertation submission, and other academic milestones.
  • Applies established university policies and procedures when reviewing documentation and works with students and academic departments to resolve incomplete, inaccurate, or noncompliant submissions.
  • Reviews student records for degree and certificate completion and performs graduation certification activities for assigned academic programs.
  • Verifies completion of applicable academic and administrative requirements, identifies and resolves outstanding requirements or record discrepancies, and ensures accurate and timely certification of degrees and certificates.
  • Maintains appropriate confidentiality of student information and provides knowledgeable, professional customer service to students, faculty, staff, and academic departments.

Qualifications

  • Required Education and Experience: High School diploma + 3 years of relevant experience or an Associate's Degree + 1 year of relevant experience.
  • Preferred Qualifications: Experience in higher education as well as familiarity with Banner, BDMS, SLATE, ProQuest preferred.

Working Conditions and Physical Effort

  • Environment: Work is normally performed in a typical interior/office work environment.
  • Physical Effort: No or very limited physical effort required. Lifting Requirements: Requires handling of average-weight objects up to 10 pounds or some standing or walking.
  • Risk: No or very limited exposure to physical risk.
