About the role

The Student Experience Coordinator supports the daily operations and student experience of EF Academy’s residential program. This position serves as a central point of contact for students, families, and staff while coordinating residential systems, student services, and campus operations. The Coordinator works closely with Residential Life and other campus departments to ensure students receive consistent, responsive, and professional support throughout their boarding experience. The Coordinator also serves as Director on Duty during assigned shifts, providing residential oversight and responding to student needs, incidents, and emergencies during evenings, weekends, and overnight hours.

Responsibilities

  • Residential Operations & Front Desk Support
    • Support daily front desk operations and serve as a central resource for students, families, and staff.
    • Assist students with questions, requests, and practical needs related to residential life.
    • Maintain accurate residential records, documentation, room assignments, housing allocations, and room changes.
    • Coordinate residential keys, access information, and other resources as assigned.
    • Support residential communications, schedules, duty information, and operational updates.
    • Assist with student transportation and other residential logistics as needed.
    • Collaborate with Residential Life, Security, Health Services, Academics, and other departments to address student needs.
    • Support Residential Life leadership with administrative projects and operational needs throughout the school year.
  • Orah & Student Management Systems
    • Support the daily management of Orah and other residential management systems, including student sign-ins/outs, passes, leave requests, attendance, and whereabouts.
    • Maintain accurate student information, records, permissions, rolls, and residential workflows; follow up on missing or incomplete information.
    • Assist students and staff with Orah-related questions and issues.
    • Monitor and communicate concerns regarding student whereabouts, attendance, or permissions to appropriate Residential Life staff.
    • Support residential reporting and other system-related operational needs.
  • Student Experience & Residential Life Support
    • Serve as a visible, accessible, and professional point of contact for students throughout the residential day, providing guidance on boarding routines, expectations, and campus life.
    • Build positive relationships with students while maintaining appropriate professional boundaries and supporting residential, interpersonal, or logistical concerns.
    • Reinforce residential expectations, school policies, and community standards consistently and professionally, referring concerns to appropriate staff as needed.
    • Collaborate with Dorm Parents, Residential Advisors, faculty, and campus departments to promote student well-being and a positive residential experience.
    • Support student programming, weekend activities, special events, and other community-building initiatives.
    • Promote a welcoming, inclusive, and culturally respectful environment within EF Academy’s international community.
    • Identify residential needs and recommend improvements to enhance the student experience, while providing additional support to the Residential Life Team as needed.
  • Director on Duty & Emergency Response
    • Serve as Director on Duty during assigned evening, weekend, and overnight shifts, providing campus-wide residential oversight and serving as a primary point of contact.
    • Respond to student incidents, emergencies, behavioral and medical concerns, and other residential needs in accordance with Academy procedures.
    • Coordinate with Security, Health Services, Dorm Parents, Residential Advisors, and Residential Life leadership to address incidents and ensure student safety.
    • Conduct campus rounds, support student accountability and supervision, and make appropriate operational decisions during duty periods.
    • Document and communicate significant incidents, escalating concerns to Residential Life leadership or senior administration as needed.
  • Arrivals, Departures & Student Transitions
    • Support student arrival and departure periods, including room allocations, residential space preparation, check-in/check-out, and accurate student information.
    • Welcome new students and families, provide residential information, and support orientation to campus expectations, routines, systems, and resources.
    • Assist international students in transitioning to the boarding community and navigating campus life.
    • Coordinate with relevant departments on arrival/departure schedules, transportation, special circumstances, and student transitions, including early/late arrivals, withdrawals, and room moves.
    • Support end-of-year residential closing procedures and preparation for the following academic year.

Requirements

  • Experience in education, residential life, student services, hospitality, administrative support, or a related field; experience working with adolescents preferred.
  • Strong organizational, communication, interpersonal, and problem-solving skills, with excellent attention to detail.
  • Ability to manage multiple priorities, work independently, and exercise sound judgment in a fast-paced residential environment.
  • Comfortable working with a diverse, international student population and collaborating effectively across departments.
  • Strong technology skills and ability to learn and manage student information and residential management systems.
  • Flexibility to work non-traditional hours, including evenings, weekends, overnight shifts, and selected holidays.
  • Valid driver’s license and ability to safely operate Academy vehicles, including passenger vans, for student transportation as needed.

Schedule

  • Full-time, 12-month, live-in residential position with accommodation provided as part of compensation.
  • Requires rotating evening, weekend, and overnight Director on Duty shifts, as well as emergency coverage as needed.
  • Participation in student arrivals/departures, orientation, special events, holidays, and school breaks may be required based on residential needs.
  • Flexibility is expected during high-volume periods and in response to changing student and operational needs.
  • Additional duties may include driving Academy vehicles, student transportation, campus rounds, front desk coverage, and supervision of student spaces.
  • Must maintain a professional and responsive approach within a 24/7 boarding school environment.
