Responsibilities
- Process authorized student and third-party payments in accordance with established procedures.
- Prepare routine billing and invoicing for tuition, fees, housing, and other assigned charges.
- Respond to high-volume student inquiries via email, phone, and virtual or in-person channels in a professional and student-centered manner.
- Perform assigned daily, weekly, and monthly reconciliations and escalate discrepancies as appropriate.
- Prepare documentation to support bank deposits and reconciliations in coordination with Finance and Accounting.
- Review account activity and assist in preparation of routine student refunds in accordance with established policies.
- Aid students in understanding the financial impact of registration changes.
- Apply late fees and account adjustments per established policy.
- Aid with preparation and distribution of standard student account communications.
- Support escheatment-related documentation for unclaimed refunds.
- Maintain electronic documentation to support audits and compliance reviews.
- Identify recurring issues and recommend process improvements.
- Perform other related duties as assigned.
Requirements
- Experience in accounts receivable or customer-facing financial services; higher education experience preferred.
- Equivalent combination of education and progressively responsible experience.
- Strong accuracy in electronic data entry, reconciliation, and account analysis.
- Knowledge of school financial policies, banking practices, and applicable regulations.
- Strong analytical, organizational, and problem-solving skills.
- Able to manage multiple priorities in a cycle-driven environment.
- Excellent written and verbal communication skills.
- Able to work independently and escalate issues appropriately.
- Commitment to confidentiality and FERPA compliance.
- Comfort working in a hybrid, technology-enabled environment.
- Intermediate Excel proficiency; strong working knowledge of Word and Outlook.
Qualifications
- Experience with ERP or student information systems; Ellucian Colleague preferred.
- Remote capabilities: This position is eligible for a hybrid schedule, requiring a minimum in-office presence of four (4) days per week during the academic year when classes are in session and during exam periods. During the summer and academic breaks, when classes are not in session and exams are not being administered, a minimum of three (3) days per week of in-office presence is required.
