About the role

This position provides administrative assistance in supporting departments across the OhioHealth system by utilizing standard work and critical thinking to proactively deploy designated resources to the greatest need. The role manages information, material resources, human capital, and facilitates the flow of information to and from care sites, OhioHealth associates, and leaders throughout the system.

Responsibilities

  • Manage team schedule (ill calls, shift swaps, and requests).
  • Maintain and process time sheets, timecard and payroll corrections, payroll reports, time and attendance reports.
  • Help leadership and staff ensure accuracy and compliance (pay premiums, TAP, FMLA, LOA, etc.) with payroll.
  • Perform tasks that contribute to department efficiencies (data collection, metric tracking, and reporting).
  • Support the team through communication (conference calls, emails, mobile phone, etc.).
  • Customer service and administrative duties as assigned by leadership.
  • Oversee data collection and maintenance of department information, including financial reports, quality reports, associate demographics, and education/competency compliance (e.g., On call/Call Stay/HA, Hospital Release, Hourly Report, Day-of staffing, and Dashboard of Supported Hours).
  • Order, track inventory/supplies, and expenses for department needs.
  • Track and manage equipment (broken equipment) and work with vendors or appropriate departments to facilitate maintenance.
  • Maintain processes to ensure department equipment is returned to the area.
  • Maintain the department filing system.
  • Troubleshoot PCs, monitors, printers, fax machines, etc., and make appropriate referrals to the IS Department.
  • Reorder toner, paper, and other limited-use products, maintaining appropriate supplies and backup.

Note: Percentage of time dedicated to each essential function may vary based on department needs. As a High Reliability Organization (HRO), responsibilities require focus on safety, quality, and efficiency in performing job duties.

Requirements

  • Associate's Degree (Required) or High School diploma/GED (Required).

Skills

  • Computer skills (Microsoft Office suite).
  • Typing competencies (> 40 words per minute).
  • Advanced word processing and spreadsheet experience.
  • Strong organizational and prioritization skills.
  • Time management.
  • Interpersonal skills.
  • Ability to utilize formal and informal communication methods.
  • Demonstrated customer service and telephone skills for both internal and external customers.

Schedule

  • Night shift.
  • Scheduled weekly hours: 36.
