Staffing Assistant

Gurwin Healthcare System is a full continuum of care providing extraordinary care and caring to the people that we serve. Set on a 36-acre campus in Commack, NY, the system includes a 460-bed nursing and rehabilitation center, assisted living, independent living, and certified home care services.

About the role

We are seeking a full-time Staffing Assistant to work in our Nursing Department Monday through Friday with rotating weekends and holidays. This is a diverse position as part of a creative, hardworking team where you will make a difference.

Responsibilities

• Set up and maintain nursing staff schedules in SmartLinx, re-assign clocks
• Complete and update daily computer attendance register
• Update vacations and all time off
• Coordinate preparation of time schedule for all employees
• Prepare special holiday schedules according to department policy
• Notify employees of approved time off or denial within one week of request
• If time off is denied, communicate available options
• Receive and implement, where appropriate, schedule change requests in coordination with the NCCs
• Arrange for per diem and OT coverage as necessary for schedule and daily staffing with Nursing Administration
• Sort paychecks and batch for distribution
• Prepare and reconcile daily staffing sheets for accuracy
• Arrange Aide coverage for resident medical and recreation trips
• Enter charge pay codes for nurses in SmartLinx
• Be available to employees on a regular basis to answer questions about payroll discrepancies, holiday, sick and vacation time usage
• Assist with other duties as required

Requirements

• High school diploma or equivalent education
• Experience in clerical, accounting, general office or nursing facility/hospital office work
• Proficiency in Microsoft Excel
• The ability to communicate in a pleasant, patient, effective manner with all levels of staff
