Staffing Assistant
Full-time, benefits-eligible position.
Schedule
- 40 hours per week
- 8-hour shift (03:30 AM – 12:00 PM)
- Rotating holidays and weekends
Pay
Pay range: $21.85 – $32.80 per hour.
Responsibilities
- Coordinates staffing for all units based on projected needs identified by department leadership.
- Services various departments by verifying staffing needs, arranging appropriate coverage through available resources, and reporting staffing status to leadership.
- Maintains accurate records of staffing allocations for communication, data collection, and billing of services.
- May maintain agency personnel records, including hours worked, licenses, orientation, and evaluations.
- May verify billing from staffing agencies and perform data entry for accounting cost management reports.
- Processes scheduling data and completes related records for payroll.
- Maintains accurate records relating to schedules, time cards, attendance records, and competencies.
- Handles scheduling situations, including ensuring even rotation of staff and placement during low census to meet FTE status.
- Performs reception duties: answering telephone calls, directing/transferring calls, taking/relaying messages, and supporting guest relations.
- Maintains and updates department files, binders, logs, etc.
- Gathers, compiles, analyzes, and summarizes department data for reports and meetings.
- Monitors department office equipment and troubleshoots minor problems.
- Assists with coordination of designated site, regional, and/or float pool staffing for various departments.
- Follows state and federal laws and regulating accrediting agency standards as applicable.
Requirements
- High school diploma or equivalent required.
- Typically requires 1 year of experience in a clerical role, including healthcare and scheduling experience.
Skills
- Good interpersonal and communication (oral and written) skills.
- Ability to work well within a team.
- Intermediate computer skills using Microsoft Office products, electronic mail, and scheduling systems.
- Ability to exercise independent judgment and demonstrate excellent problem-solving skills.
- Demonstrated accurate data entry skills.
- Ability to work under pressure in a fast-paced environment.
