Responsibilities
- Serves as the Staff Administrator to the Chair, Program Administrator, Faculty, and Administrators in the Department of Neurosurgery.
- Performs routine and non-routine duties requiring high-level and advanced administrative and management skills.
- Deals with highly confidential information and works with limited supervision and exercises independent judgment.
- Responsible for HR related items in collaboration with UR employment office and the department’s HR Business Partner.
- Supports the faculty and staff recruitment and hiring process, including administrative paperwork for new hires, promotions, extra compensation, salary changes, pay distribution updates, and faculty forms.
- Screens incoming applicants for vacant positions within the department.
- Acts as the liaison between the Department and the central credentialing office to facilitate the credentialing process for medical staff, including all regional locations.
- Conducts provider enrollment and recertification activities for payers, including Worker’s Compensation.
- Updates and attests Council for Affordable Quality Healthcare, Inc. (CAQH) NYS provider profiles.
- Ensures the faculty comply with ongoing requirements to obtain physicals, PPDs, maintenance of license and certificates, mandatory training required for continued medical staff privileges, and other requirements.
- Schedules and coordinates recruitment of faculty, advanced practice providers, postdoctoral fellows, etc., under the direction of the Chair and Program Administrator, including composing ads for posting of positions in national journals, national websites, and acts as liaison with recruiters and candidates.
- Responsible for compiling itineraries involving multiple Departments and Campuses, including travel arrangements, scheduling interviews, lodgings, and meals for candidates and visiting faculty.
- Escorts candidates to various interviews on-campus and occasionally off-site meetings.
- Onboards new providers through the creation of a checklist customized to our department, outlining requirements, timeframe, responsible party, specific contact information, and website links for additional information.
- Develops, analyzes, summarizes, and distributes reports for the Chair and Program Administrator to track medical staff appointments, reappointments, and promotions (both local and regional).
- Creates and maintains a database to automate the credentialing and medical staff processes for the department.
- Coordinates with the Sovie Center to process applications and new hire credentialing forms for Advanced Practice Practitioners; coordinates orientation and onboarding schedules and enrolls providers with payers.
- Tracks and approves time for staff and submits information to payroll in a timely manner.
- Manages and maintains department employment records and runs, analyzes, and summarizes reports.
- Maintains knowledge of legal requirements and government reporting regulations for employment.
- Provides administrative support to the Chair, Program Administrator, and Faculty.
Qualifications
- Bachelor’s degree required.
- One year of related work experience or equivalent combination of education and experience required.
