About the role
The University of California, Merced is seeking a Student Services Assistant to support the School of Social Sciences, Humanities, and Arts (SSHA).
Responsibilities
- Provide calendar support to Assistant Dean of Student and Instructional Services and Director of Student Services.
- Prepare and submit supply orders.
- Support with tracking and budget related requests for Student and Instructional Services.
- Prepare and disseminate digital communications to students and faculty.
- Logistical support for committee and staff meetings.
- Process routine academic advising/student forms.
- Update student records and perform extensive data entry.
- Archive student forms and documents electronically.
- Update business processes in response to electronic workflow updates.
- Create, update, and maintain web pages related to School-based student form and petition processes.
- Track and assess undergraduate student petition submissions.
- Supervise SSHA Academic Advising Student Assistants.
- Manage SSHA Academic Advising reception, including creating shift schedules, reviewing/approving timesheets, managing time off requests, and facilitating team meetings.
- Assist with SSHA Academic Advising Reception coverage, including greeting students and faculty, ensuring accuracy of check-in process, and maintaining a welcoming space.
- Assess the SSHA Academic Advising Student Assistant program.
- Organize all aspects of SSHA Academic Advising events.
- Maintain consistent communication with the Assistant Dean of Student and Instructional Services and the Director of Student Services.
Qualifications
- High School Diploma, GED, or HSED or equivalent, and three (3) years administrative/clerical work experience.
- Bachelor's degree in a related area and relevant work experience leading to the development of essential skills, knowledge, and abilities.
- Direct knowledge of University of California policies and procedures preferred.
- Supervisory experience preferred.
Skills
- Working knowledge of administrative procedures and processes, including word processing, spreadsheet, and database applications.
- Demonstrated ability to operate PC with software for Microsoft Outlook, Word, Excel, Publisher, and other programs as needed.
- Strong verbal and written communication skills to convey information accurately, clearly, and concisely.
- Strong active listening and critical thinking skills.
- Excellent time management.
- Effective communication and diplomacy with diverse groups.
- Logical, concise, and grammatically correct document writing.
- Independent and accurate record keeping.
- Prioritization under conflicting demands.
- Utilizing student information systems like Banner, COGNOS, Blink, Astra, MyDegreePath, Box, OnBase, or equivalent.
- Knowledge of University of California policies and procedures preferred.

Pay
The starting salary range for this position is Step 1: $27.17/hr. The full salary range is Step 1: $27.17 - Step 17: $38.61.
