Responsibilities
- Professionally answer, screen, and direct incoming calls to appropriate personnel or departments.
- Maintain and monitor automated attendant systems to ensure proper functionality.
- Ensure the reception and lobby areas are clean, organized, and presentable at all times.
- Greet and assist visitors courteously; determine the purpose of visits and ensure compliance with established security and access procedures.
- Manage visitor check-in processes, including entry into the Visitor System and issuing appropriate badges.
- Cook up and distribute taxi vouchers for guests as needed.
- Coordinate and oversee the employee loaner badge program, ensuring proper issuance, return, and secure storage.
- Develop and distribute monthly reception/lunch coverage schedules and coordinate staffing coverage with external agencies.
- Communicate company notifications as assigned by management.
- Manage incoming and outgoing mail operations, including coordination of postage meter usage with Finance.
- Administer FedEx account activities and order, maintain, and ensure adequate inventory of shipping, kitchen, and office supplies.
- Support procurement activities and submit/track service requests using internal systems (e.g., SNOW).
- Affirm office-related costs and metrics (e.g., supplies, utilities, recycling) as directed.
- Coordinate flower or care package deliveries for employees on leave in collaboration with Human Resources.
- Provide administrative support to staff and management as needed.
- Aid with conference room scheduling, transportation requests, and general office coordination.
- Cover emergency preparedness efforts, including evacuation coordination.
- Ensure compliance with all company policies, procedures, and workplace guidelines.
- Perform other duties as assigned to support business operations.
Qualifications
- Sr. Receptionist: Minimum of 8 years of experience in a receptionist or administrative role.
- Receptionist: Minimum of 5 years of experience in a receptionist or administrative role.
- Proficient computer skills in Microsoft Word, Excel, PowerPoint.
- Strong organizational/communication skills, with strong attention to detail.
- Ability to logically organize, manage and retrieve working computer files.
- Professional and courteous in-person and on the phone.
- Strong customer service orientation.
- No supervisory responsibilities.
