Responsibilities

  • Professionally answer, screen, and direct incoming calls to appropriate personnel or departments.
  • Maintain and monitor automated attendant systems to ensure proper functionality.
  • Ensure the reception and lobby areas are clean, organized, and presentable at all times.
  • Greet and assist visitors courteously; determine the purpose of visits and ensure compliance with established security and access procedures.
  • Manage visitor check-in processes, including entry into the Visitor System and issuing appropriate badges.
  • Cook up and distribute taxi vouchers for guests as needed.
  • Coordinate and oversee the employee loaner badge program, ensuring proper issuance, return, and secure storage.
  • Develop and distribute monthly reception/lunch coverage schedules and coordinate staffing coverage with external agencies.
  • Communicate company notifications as assigned by management.
  • Manage incoming and outgoing mail operations, including coordination of postage meter usage with Finance.
  • Administer FedEx account activities and order, maintain, and ensure adequate inventory of shipping, kitchen, and office supplies.
  • Support procurement activities and submit/track service requests using internal systems (e.g., SNOW).
  • Affirm office-related costs and metrics (e.g., supplies, utilities, recycling) as directed.
  • Coordinate flower or care package deliveries for employees on leave in collaboration with Human Resources.
  • Provide administrative support to staff and management as needed.
  • Aid with conference room scheduling, transportation requests, and general office coordination.
  • Cover emergency preparedness efforts, including evacuation coordination.
  • Ensure compliance with all company policies, procedures, and workplace guidelines.
  • Perform other duties as assigned to support business operations.

Qualifications

  • Sr. Receptionist: Minimum of 8 years of experience in a receptionist or administrative role.
  • Receptionist: Minimum of 5 years of experience in a receptionist or administrative role.
  • Proficient computer skills in Microsoft Word, Excel, PowerPoint.
  • Strong organizational/communication skills, with strong attention to detail.
  • Ability to logically organize, manage and retrieve working computer files.
  • Professional and courteous in-person and on the phone.
  • Strong customer service orientation.
  • No supervisory responsibilities.
