About the Role
As the Sr. Operations Coordinator, you are responsible for assisting the Community Manager in maintaining all aspects of property operations, with a concentration on leasing, marketing, resident relations, and community functions. The role focuses on achieving 100% occupancy through resident retention, leasing current availability, and pre-leasing future availability.
Responsibilities
- Utilize Company leasing expectations and procedures to greet prospective clients, qualify their needs, present the property and apartment homes, and close sales using Cardinal’s Sales Platform (Cardinal Way of Leasing).
- Earn and maintain a Cardinal Way of Leasing certification by utilizing available resources and passing in-house and third-party evaluations.
- Assist the Community Manager in training full-time and part-time leasing team members on customer service, phone etiquette, leasing workflows, resident interactions, marketing, and the Cardinal Way of Leasing.
- Answer incoming phone calls professionally, handling inquiries from prospective clients, residents, internal team members, or vendors.
- Complete lease applications and participate in the verification process, notifying prospective clients of results.
- Maintain accurate client records and update daily reports (e.g., notice to vacate, vacancy reports, activity reports) on a daily, weekly, monthly, and annual basis.
- Maintain and perform upkeep of the tour route to ensure curb appeal.
- Assist residents with day-to-day tasks as part of the community’s concierge program while fostering a sense of community.
- Plan and execute a Monthly Marketing Plan (MMP), which may include residential events, housing fairs, open houses, orientations, community events, university and local marketing, promotional items, incentives, outreach, social media, and digital marketing.
- Manage the community’s social media accounts.
- Maintain and improve the community’s online reputation through reviews and internal satisfaction survey tools.
- Participate in Cardinal U training as required.
Requirements
- 1-2 years of customer service and sales experience.
- Strong communication skills.
- High-energy and ability to thrive in a fast-paced environment.
- Commitment to providing excellent service, both in person and on the phone.
- Basic computer skills, including typing and writing correspondence.
- High School Diploma or equivalent.
- Availability to work evenings and weekends.
- Ability to embody the Cardinal Culture and Cardinal Core Values daily.
Work Environment
The role involves working both inside and outside of apartment buildings, including amenities, with frequent exposure to outdoor elements such as temperature fluctuations, weather conditions, odors, and landscaping.
Physical Demands
- Regular use of hands for typing, handling, or feeling, and frequent talking or hearing.
- Frequent standing, walking, reaching, climbing, stooping, or squatting.
- Ability to access all exterior and interior parts of the property and amenities, working in all weather conditions (e.g., rain, snow, heat, hail, wind, sleet).
- Ability to push, pull, lift, carry, or maneuver weights up to 20 pounds.
- Specific vision abilities required, including close and distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Occasional travel may be required to assist properties, attend training, or fulfill other job-related responsibilities.
